SERIES NATURE OF WORK: The Clerical Assistant job series describes work providing office support and reviewing and processing documents and information.
DEFINITION: This is routine clerical work.
An employee in this job performs routine clerical work within well-established operating procedures. Work involves a limited variety of clerical activities that are performed with minimal variation in processes or methods. Work involves office or program support functions in reviewing and processing data, information, forms, and other documents; and includes the keyboarding of data and information into computer systems. Work may involve preparing documents, sorting and comparing information, performing mathematical calculations, maintaining files and records, or assisting the public in completing governmental forms or obtaining general information about programs and services. Work may include providing limited clerical support to other staff or for overall office operations. Work is initially performed under close supervision with detailed guidance received when new work processes or procedures are introduced; however, employees are expected to perform with limited guidance after procedures are learned.

• Keyboards data and information into records, forms, templates, and other documents.
• Transfers and compares data and information to ensure accuracy and completeness.
• Copies, scans, sorts, files, and retrieves documents or materials.
• Receives applications, documents, forms, and fees; and screens, sorts, and assembles for further processing.
• Collects monies owed and records payments.
• Opens, sorts, and distributes incoming mail; and prepares outgoing mail.
• Serves as a receptionist by greeting, screening, and directing visitors; answering and transferring telephone calls; recording messages; and providing routine information.
• Performs related work as required.
