JOB TITLE: CORRECTIONS SUPERINTENDENT ASSISTANT

DEFINITION: This is professional and administrative work managing support programs and activities in a state correctional facility.

An employee in this job serves as an assistant to a Corrections Superintendent and performs administrative activities which support the operations of a state correctional facility. Work involves managing the facility’s inmate grievance system; coordinating the facility’s compliance with American Correctional Association (ACA) standards; coordinating with internal and external agencies the investigation and response to inmate litigation involving facility staff; and coordinating policy distribution and maintenance. Work also involves serving as a public information officer and acting as the official spokesperson for the facility. Supervision may be exercised over lower level administrative and clerical staff. Work is performed under the general supervision of a Corrections Superintendent and is reviewed through conferences, reports, and evaluation of overall results.

• Audits, reviews, collects, and organizes documents to demonstrate proof of compliance with accreditation standards that must be met within the facility.

• Analyzes information gathered through investigations and interviews with inmates and staff for the purpose of responding to inmate grievances.

• Ensures inmate grievance procedures are followed and response standards are met.

• Prepares news media releases, conducts press briefings, coordinates media events, manages the release of information, and responds to external inquiries on behalf of the facility.

• Coordinates policy maintenance and assists facility staff in the development of policies, procedures, and publications.

• Prepares detailed correspondence and reports relating to facility programs, operations, and statistics.

• Conducts facility inspections to ensure compliance with policies, procedures, and accreditation standards.

• Coordinates with the Department of Corrections' Chief Counsel and Office of Attorney General for matters involving inmate lawsuits against institutional staff.

• Conducts research and prepares affidavits, interrogatories, and reports relevant to litigation cases involving facility staff.

• Interprets policies and procedures and provides explanations to facility staff.

• Coordinates visits into the facility for various groups, including state government officials, local government officials, students, professors, and media representatives.

• Meets with inmates to coordinate legal matters, explain policies and procedures, and facilitate videoconferences.

• Coordinates videoconferencing for inmates, staff meetings, and trainings.

• Represents the facility on various committees and attests to its position on relevant matters.

• Performs the full range of supervisory duties.

• Employees in this job may participate in the performance of subordinates’ work consistent with operational or organizational requirements.

• Performs related work as required.

ENTRY LEVEL KNOWLEDGES, SKILLS, AND ABILITIES:

• Knowledge of Department of Corrections administrative directives, policies, and procedures.

• Knowledge of inmate custody and security standards, procedures, and methods.

• Knowledge of the use and functionality of Microsoft Office Suite software.

• Ability to interpret and apply policies, procedures, and regulations.

• Ability to establish and maintain effective working relationships.

• Ability to communicate effectively orally.

• Ability to communicate effectively in writing.

• Knowledge of accreditation standards and requirements.

MINIMUM EXPERIENCE AND TRAINING: (NOTE: Based on the Entry Level Knowledges, Skills, and Abilities)

• Six years of professional or administrative experience in the interpretation and application of security, treatment, educational, or vocational policies in a commonwealth correctional institution or facility;

or

• Two years of professional or administrative experience in the interpretation and application of security, treatment, educational, or vocational policies in a commonwealth correctional institution or facility and a bachelor’s degree;

or

• An equivalent combination of experience and training.
