Position Purpose:

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

This position is responsible for the operation and administration of the park office at Ole Bull State Park. Employee works closely with and maintains an open communication with the park manager, and all park staff, in order to keep the office function updated and effective.

Collects fees and issues permits and receipts for camping, camper storage, dumping, group tenting, cabin and pavilion use. Is familiar with the reservation system and monitors reservations, prepares necessary reports and keeps maintenance and manager aware of reservation schedule for lodge, pavilions, Organized Group Tenting area. Is responsible for money collected. Prepares deposits as needed. Monitors change balances and notifies the park manager when change is needed. Provides appropriate reports and information to campground hosts.

Provides information and directions to patrons in person, by phone or via email. Mails information requests. Responsible for answering telephones, providing information, taking messages and distributing promptly as needed, and maintains and responds in a timely manner to messages on the answering machine. Checks park email account, responds to information requests, forwards or prints emails for distribution to appropriate personnel/supervisor.

Types correspondence, reports, forms, confirmations and other material as assigned by park manager. Prepares reports for manager’s review and signature, including automotive, gas and oil, swimming reports, park attendance, incident logs, transmittals. Opens, sorts and distributes mail. Responsible for date stamping and preparing invoices for processing and payment.

Operates computer, calculator, fax, answering machine, copier, phone system and any other related office equipment. Operates radio communication system.

Maintains filing system, office supply inventory and brochure inventory. Periodically purges files per retention list. Maintains brochure and information rack. Maintains office bulletin boards.

Maintains a working knowledge of park rules, regulations, policies and procedures. Maintains and updates all administrative manuals. Maintains office in a neat, orderly and clean state.

Performs other job related functions or duties as assigned by the park manager.

Decision Making:

Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

Responds to customer inquiries and requests for information as able. Researches the status for an activity or policy or consults with the park manager to determine the correct response. Refers customers requests, inquiries and complaints to manager if outside the realm of job duties.
