Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

The employee works under the supervision of the Clerical Supervisor 2 in charge of Centralized
Scheduling. The employee assigned to this position performs a variety of clerical duties in
support of the overall goals and objectives of the Nursing Department. The Central Nursing
Office is the Communication Center for approximately 500 Civil/Forensic employees and three
patient care buildings.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Calls for overtime for the buildings, assuring equalization of employees who are on the
voluntary overtime list, and records this on the daily coverage sheets, and schedules and
processes the information on the computer.
Inputs the schedules bi-weekly, enters deviations on the computer, and prints and copies new
schedules for posting.
Makes changes on computer files such as:
 adding new employees
 changing templates
 transferring to other buildings, wards, shifts
 vacating or deleting positions, etc.
 updating personnel information
Takes call-offs, records in message book, on daily coverage sheet and on bi-weekly schedule.
Using the bi-weekly employee schedules, prepares the daily assignment sheets recording the
number of Registered Nurses, Forensic Registered Nurses, Licensed Practical Nurses,
Psychiatric Aides, and Forensic Security Employees scheduled on duty in each of the buildings,
including Annuitants, PRN Nurses and those scheduled to work overtime.
Checks the Daily Assignment Sheets against the bi-weekly time schedules to assure accuracy.
Answers telephone calls from within and outside the hospital grounds, talking in a courteous
manner, directing calls to those staff who can best handle them.
Gives out sets of loaner keys to Nursing employees who have forgotten theirs and to Agency
Nurses who need them.
Performs filing responsibilities by maintaining files to insure that required information and
forms are available whenever needed.
Performs other related duties.
ESSENTIAL JOB FUNCTIONS
Applies principles of logic, alphabetizing, operating personal computer, including Microsoft
Excel, Word, and Outlook.
Utilizes English grammar, spelling and punctuation at a level equivalent to that used in writing
or adjusting written materials normally consisting of simple sentence structures, one and two
syllable words and punctuation marks for word, number and sentence.
Understands required care and maintenance of a computer.
Understands and applies standard office procedures, practices, conduct and actions necessary in
maintaining harmonious working relationships.
Types, proofreads, reproduces, sorts, distributes and files documents.
Prepares and processes outgoing mail and documents; opens, sorts and distributes incoming
mail.
Communicates and coordinates messages within the hospital, utilizing all forms of available
communication equipment and courteous, diplomatic communication skills.
Maintains and retrieves data.
Operates office machines such as the fax machine and photocopier; instructs others in their use.
Understands and follows oral and written instructions.
