Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position plans, organizes, and directs the execution of single- and multi-day events in Fine Wine & Good Spirits stores and at remote locations across the Commonwealth to advance the agency’s marketing, sales, and customer engagement objectives.

Events include but are not limited to wine and spirits festivals; educational seminars; restaurant and culinary demonstrations; wine and spirits pairings; food shows; winemaker, distiller, or celebrity appearances; store grand openings; on-site retail activations; and other high-visibility consumer events that support the PLCB’s statewide brand presence.
This position involves significant travel to events within the commonwealth, including overnight stays and weekends as needed.

Description of Duties:

Assists with the development of event strategies and implementation plans that align with agency goals and marketing initiatives. Ensures events are executed within approved budgets, evaluates financial impact, and recommends adjustments or additional resources as necessary through proper channels.

Coordinates the execution of assigned events and projects. Facilitates planning sessions with Retail Operations and cross-functional teams to establish event objectives, timelines, staffing needs, and resource allocations. Oversees full lifecycle planning, from concept through post-event evaluation to ensure operational excellence and brand consistency.

Analyzes host location layouts and infrastructure; develops comprehensive logistics plans and staffing models; and provides recommendations to optimize event flow, consumer experience, and safety. Establishes and monitors detailed project timelines to guide both internal and external stakeholders.

Provides on-site leadership and direction during events to ensure compliance with established goals, standards, and objectives. Oversees and coordinates with multiple stakeholder groups including retail staff, vendors, security, media, and VIP participants, and exercises sound judgment to resolve operational challenges and ensure successful outcomes.

Determines and recommends personnel, resources, and materials required to execute approved project plans. . Provides subject-matter guidance to internal teams and external partners on best practices in event management and execution.

Coordinates communication and collaboration with the Bureau of Marketing, Communications, Branding, and Design (MCBAD) to ensure all events are effectively promoted through appropriate channels. Oversees the accuracy of event calendars and online postings and provides updates and approvals for content.

Reviews vendor contracts and third-party services to ensure compliance with negotiated terms, performance standards, and fiscal accountability. Resolves conflicts or service issues on-site in the best interest of the PLCB. Initiates and negotiates non-monetary value-added agreements with partner organizations and venues to enhance event impact and cost-effectiveness.

Prepares and presents proposed contracts, service agreements, and project plans. Participates in planning and status meetings/conference calls to monitor progress, address risks, and ensure alignment with strategic objectives.
Serves as a liaison and decision authority on behalf of the PLCB during event planning and execution, managing communication among all internal and external stakeholders. Facilitates resolution of issues and conflicts among participating groups.

Monitors the design, quality, and consistency of event materials and displays. Evaluates materials for brand alignment and operational functionality; makes recommendations for enhancements; and manages the inventory, maintenance, and readiness of field assets and supplies.

Collaborates with the LCB Reporting and Analytics team to collect and analyze event performance data, including costs, sales, attendance, and ROI metrics. Prepares post-event evaluations and summaries with actionable recommendations for future planning strategies and budget decisions.

In-Store Consumer Tasting Program:
Provides oversight and policy enforcement of the PLCB’s automated tasting calendar, ensuring adherence to agency standards and procedures. Reviews and approves/denies vendor submissions based on compliance criteria and operational feasibility. Maintains proactive communication with vendors to ensure smooth execution and issue resolution.

Ensures vendor compliance with all policy and insurance requirements. Collaborates with Chief Counsel’s office to review certificates of insurance (COI), approves coverage adequacy, and manages records and renewals. Oversees access control to the Tasting Scheduler system, including enforcement actions for noncompliance.

Leads communication and coordination with internal departments and external partners regarding deadlines, program updates, and upcoming events to maintain transparency, accountability, and operational alignment.

Monitors LCB ticketing system, ServiceNow, for incoming emails and communications from internal and external business areas as related to in-store tastings and events. Responds to and resolves issues as necessary.

Manages the use and reconciliation of agency issued purchasing and travel cards.

Performs other duties as necessary.
