Position Purpose:

This position is assigned to the staff of the Director, Bureau of Liquor Control Enforcement, and provides clerical support to the Bureau Director; Director, Administration Division; and the Director, Operations Division, in order to ensure the smooth and effective flow of work between Department/Bureau Headquarters and the District Enforcement Offices.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

25% Answers telephones and greets visitors. Assists with maintaining the Bureau's equipment inventory and uniform inventory for issue to Enforcement Officers. Some overnight travel may be required.

20% Maintains inventory records and conducts annual inventory for Bureau Headquarters. Assists the Administrative Assistant in performing designated functions, including timekeeping, shift planning, purchasing and travel arrangements. Reviews purchasing card reconciliation packets from the district offices for errors. Enters data into various Bureau programs.

25% Generates complaint forms using the Bureau’s Incident Tracking System (ITS) for complaints received for violations of the Liquor Code and related laws. Creates CAD numbers using the RMS system for complaints referred to other units. Disseminates complaints to District Offices, Troops, local police departments or the PA Liquor Control Board (PLCB), as appropriate. Researches PLCB licensing records to ensure accuracy in assigning complaints.

10% Orders supplies for Bureau Headquarters Report Examination Unit and Harrisburg District Office and ensures proper maintenance of inventory of same, including janitorial supplies. Maintains the Bureau's UNDER21 hotline by processing complaints and After-Action Reports to the appropriate police departments, and forwarding complaints received during business hours. Researches and distributes non-compliant RAMP correspondence from the PLCB to the appropriate districts.

10% Prepares and types correspondence for the Bureau/Division Directors, Administrative Officer and Administrative Assistant, including general and confidential correspondence, endorsements, and reports. Scans and e-mails documents to the District Offices and other Units as directed.

10% Performs other related duties and any other tasks assigned by the Administrative Officer, Administrative Assistant or other higher authority as required.
