Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position provides administrative and clerical support to the Clinical Services Manager and Assistant Clinical Services Manager (DON/ADON) at the Hollidaysburg Veterans' Home, and is responsible for preparing and posting work schedules for the nursing department.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Use scheduling software to develop and prepare work schedules to meet the demands of the facility. Ensure compliance with policies, regulations, standards of conduct and union equalization issues. Post schedules on nursing units.

Review employee call-off lists obtained from Registered Nurse Supervisors to adjust schedule and identify staffing shortages. Contact employees on the voluntary overtime list, PRN list, and nurse staffing agencies to obtain Nurse Aides, LPNs, and RNs.

At the direction of the DON or ADON, assign/reassign staff to maximize care levels within the clinical treatment areas, individual/patient care wards, and living areas.

Maintain files on nursing overtime books and sign-up sheets, voluntary and mandatory overtime lists, and employee call offs.

Create reports on mandatory overtime (MOT), voluntary overtime (VOT), unanticipated overtime and staffing levels. Work with facility timekeepers and human resources staff to identify and correct time problems and scheduling conflicts.

Create forms and tracking databases to assist with monitoring MOT, VOT, and agency hours. Maintain and update holiday and voluntary equalization lists.

Provide administrative and clerical support to the Nursing Department, such as: typing and proofreading various documents, receiving and routing telephone calls and visitors, making copies, filing, taking messages, etc.

Participate in mandatory in-services and attend other continuing education seminars to improve skills and knowledge base.

Performs work in accordance with the DMVA general safety rules and safety rules for this position.

Immediately reports all workplace injuries or incidents to the supervisor; and/or immediately corrects any safety hazards in the work area or reports same to supervisor.

Support the facility QAPI efforts by attending all assigned QAPI training; following established policies and procedures in support of QAPI efforts; participate in PIP teams as assigned; sharing ideas for improvement in the organization; and supporting QAPI efforts both verbally and non-verbally, including adjusting performance and practice in accordance with QAPI initiatives and findings.

Use personal protective equipment when required such as gloves, masks, face shield, etc.
