Position Purpose:

This position is to provide scanning services, document services, and mail room backup services to the RCSOB. Assists supervisor with tasks as needed.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

SCANNING SERVICES

Supports the agency’s goal to transition from paper-based to electronic operations.
Provides scanning and import services for bothtext, graphic and images. Manipulates and places these elements into the file as needed for proper placement. Provides OCR(Optical Character Recognition) and photo enhancements services. Performs electronic data conversions.

Prepare papers and maps by removing staples, paper clips, and binder clips before being scanned into OnBase.

Organizes the prepped documents for certain information and types that information onto the necessary start sheets. Print the startsheets and places in front of the papers/maps in the respective file folder.

Responsible for the scanning and uploading of a variety of maps by operating one of two networked scanners, the KIP 860 or theHP SD Pro.

Troubleshoots problems encountered with the submission of batch files into OnBase by using a high-speed scanner, the Fujitsu fi-5950. Works with other areas in the Department to address network-related problems. Provides routine maintenance and cleaning ofequipment.

Scan maps, photographs, and hard copy paper files to ensure that the resolution is acceptable.

Shreds finished scanned documents.

Responsible for maintaining and storing of recycled material for future use.

DOCUMENT SERVICES

Operate the following machines:
- paper folding machine
- two different types of saddle stitch binding machines
- tape binding machine
- paper cutting machine
- thermal laminating machine
- paper jogger

MAIL SERVICES BACKUP

This position services as backup for mail services and reports to the Section Chief of
Mail and Printing Services. This position performs inter-department DEP/DCNR and IFO mail delivery.

Accepts and signs for received from the commonwealth scanning facility.

Responsible for quality assurance on all mail delivery and service of being aware of personnel changes, organizational structurechanges, delivery of confidential mail/packages, and ensures accuracy for the delivery of mail.

Assist the mail room with a shortage of mail room staff during call offs/vacations.

Assist with lifting, carrying, and sorting all incoming mail and packages. Notifies program staff of special box/package pick up.

Assists with processing the outgoing UPS boxes/packages by weighing, measuring, calculating dimensional weight, entering thatinformation and the receiver's address on the UPS website, printing the bar code shipping label and affix it to the box/package, andtake the completed UPS box/package to the staging area that is in the loading dock for UPS pick up.

Assists with updating the tracking log sheets when incoming FedEx, UPS, USPS arrives that have tracking numbers on them. Scanbar codes (tracking numbers) that need to be signed for before they are taken out of the mail room.

Assists in ensuring that mail schedules are punctual and mail is processed in the most efficient and expeditious manner.

Assists in operating the inserter machine.

OTHER DUTIES:

Share the responsibility of maintaining well organized areas of work - the scanning center, inserter room, and mail room.

Establishes procedures and provides guidance to the RCSOB staff.

Promotes the Department’s mission. Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system-specific tools to ensure duplicative entries and data quality issues are minimized.

Work is performed with considerable independence and minimal review; however, changes in operational standards and work policies are discussed in detail with the supervisor prior to implementation.
