Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Invoice reconciliation process, pays bills, balances and sorts invoices, processes payments and fund commitments, and posts direct expenditures. Researches and provides a variety of information to external customers in response to inquiries regarding accounts and billing. Maintains a spreadsheet of monthly costs for utilities and processed expenditures to aid in the overall county budget preparation. Enters good receipts as R3 and SRM Receiver. Acts as SRM Requisitioner. Inputs inventory and reconciles inventory report from SAP and sends to District Office. Completes ice reimbursement paperwork for foremen and processes for payment. Orders contract items through SAP, equipment repair parts and some non-contract items with the purchasing card. Reviews and posts items on credit card statements using proper account coding. Utilizes agency purchasing card for utility payments and other payments as necessary. Complies with Department policies and procedures, maintenance of purchases, and reconciles accounts monthly. Reviews the zero-usage report with the Roadway Program Coordinator and makes necessary adjustments to lower the county’s cost per lane mile. Performs material support duties, including: Prepares weekly spreadsheet of open material purchase orders and current stockpile inventory and distributes to county management team and other county maintenance staff. Receives roadway materials good receipts from vendors to ensure correct quantity and items are received and records appropriate receipts into MIGO. Transfers material between locations through SAP transactions. Works with technical data, collects data, and inputs data into various computer programs used to monitor material usage. Performs storeroom support duties, including: Completes monthly inventory of items and is responsible for storage of supplies/materials. Utilizes efficient storage methods and good organization for the stock to allow for easy access and inventory counting. Coordinates inventory count with stockroom, sign shop, and bulk materials. Posts inventory counts and prints list of discrepancies to check for variances. Monitors inventory usage and dispose of excess inventory. Reviews the inventory turnover report with the Roadway Program Coordinator and make necessary adjustments to lower the county’s inventory turnover time frame. Responsible for controlling the receipt, storage, and issuance of automotive equipment repair parts, accessories, tires, tubes, batteries, lubricating oils, greases, and other items related to automotive repair. Orders parts/supplies as inventory indicates or as requested by mechanics. Submits orders for items such as office forms, publications, hard hats, vests, and more. Issues/distributes parts, supplies, and materials to employees. Prepares items for shipment and arranges for the pickup or delivery of parts from vendors and the return of cores. Arranges for the return of equipment parts that cannot be repaired by PennDOT, including proper return labels. Uses Inventory Planner in SAP to view stock items needed to reorder/restock the supply under direction of the Roadway Programs Coordinator. Maintains accurate record of goods movement. Acts as the Inventory Counter to take physical inventory counts. Operates forklift, hand truck, or other storeroom equipment to move oversized or heavy materials. S.E.M.P responsibility statement for rank and file. Recognizing that everyone is involved in the District's and County's actions to demonstrate sound environmental practices, each employee fulfills the maintenance unit business plan objectives related to the Strategic Environmental Management Program (S.E.M.P.). Also, supports the efforts of managers, supervisors, and other employees to meet these objectives. Attends environmental training designated for this Working Title. Serves as back-up to the Roadway Programs Technician 2. Performs related work as required. Safety: 1. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident. 5. Evaluate the contractor’s operations: Immediately stop any unsafe actions. Engage in an ongoing safety dialogue with the contractor’s leadership. 6. Promote a CULTURE that emphasizes SAFETY as a core value: Immediately stop any unsafe actions. Incorporate safety into all discussions, deliberations, and decisions. Continuously communicate the safety direction. Inspire employees to be a MODEL for safety. Encourage and support safety initiatives and programs by participating and involving your staff. Recognize safety daily. Acknowledge EXTRAORDINARY achievements. Learn and improve through After-Action Reviews (AARs). Enforce accountability. Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Department Green Plan Policy: Commit to following the Department’s Green Plan Policy (Pub 712) and the associated principles. Failure to comply with Department Green Plan Policy shall be documented in employee’s performance review. Fair Labor Standards Act (FLSA): Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0 hour day. |
