Position Purpose:

Provides general clerical and office support to the Bureau of Patrol to ensure its operations are conducted efficiently and effectively.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

30% Serves as Timekeeper/Leave Clerk for the Bureau of Patrol. Reviews time and attendance records of Bureau personnel for accuracy and conformance to Department regulations. Maintains records in compliance with Department regulations. Researches and responds to time/pay inquiries from Bureau personnel.

15% Purchases all needed equipment/supplies for the Bureau, utilizing Grant funding or Bureau funding, in compliance with Department regulations. Orders expendable supplies for the Bureau. Processes Purchasing Card (P-Card) payments, Purchase Order (PO) invoices, and Non-PO invoices. Maintains reconciled and unreconciled P-Card files as required by OM 7-17 and the Pennsylvania State Police Purchasing Card Guidelines.

15% Maintains various databases, such as but not limited to, Collision Analysis and Reconstruction Reports, Speed Enforcement Agreements, Special Drivers Exams, Bureau Incoming Mail Log, and performs data input and electronic tracking.

10% Receives incoming telephone calls and provides assistance to callers when needed. Processes and receives incoming and outgoing mail.

10% Maintains various Bureau files, such as but not limited to, Collision Analysis Reconstruction Reports, Emergency Vehicle Designations, Municipal Speed Enforcement Agreements, etc.

5% Performs specified tasks of the supervisor in the supervisor's absence, such as preparing, proof-reading, typing, and processing various correspondence and reports, and ensuring workflow is maintained in the Bureau.

5% Provides clerical support to Bureau personnel by assisting with various tasks such as but not limited to, assembling training material and statistics for the Bureau Drug Recognition Expert Coordinator, data entry for the Vehicle Fraud Unit, and Bureau Grant Program Coordinator, etc.

5% Processes Travel Expense Reports for Bureau personnel.

5% Performs other related duties as required.
