Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Under the direct supervision of the Clerical Supervisor and indirect supervision of the Administrative Officer, functions in the capacity of office support to ensure office operations are conducted efficiently and effectively.

Description of Duties:

Under the general supervision of the Clerical Supervisor in the Petitions Unit of the Workers' Compensation Office of Adjudication (WCOA), individual is responsible for the following:

Possesses knowledge of the general principles of current computer operating system, Workers’ Compensation Automation and Integration System (WCAIS), DataCap Thin Client/Thick Client, ESS, Microsoft software and web/internet browsers. Must have a working knowledge of the Workers' Compensation forms processing and be knowledgeable in the computer systems and file procedures of the Petitions Unit.

Receives instructions and work for completion through tasks received within WCAIS, verbally, by e-mail, or by handwritten sources daily.

Processes forms from a WCAIS taskbasket. Matches imaged forms to electronic files and creates electronic files when necessary. Corrects electronic file data in accordance with Bureau Policy and Data Quality guidelines.

Operates computer, copier, scanner, printer, fax machine, folder/inserter mail machine, postage machine, and a variety of other office equipment.

Retrieves, opens, date stamps, and distributes incoming mail as needed or as specifically directed in accordance with office procedures.

Scans and indexes petitions received in the mail, returned mail, and other various documents received using the correct cover sheet, claim, dispute and/or med fee number; ensuring all documents appear correctly in WCAIS.

Cross-trains in other employee's primary taskbaskets or primary functions and works in other baskets or functions in the Division in order to balance the workflow to meet Bureau and Legal deadlines.

Communicates with external parties by telephone, email, mail, or through WCAIS, according to WCOA Policies and Procedures. Provides customer service by assisting with telephone inquiries and placing calls as necessary to confirm petition information.

Communicates issues beyond the Clerical Assistant 2’s classification or knowledge using the appropriate chain of command.

Alerts Supervisor when supply stock is low and requests supplies when needed.

Completes office filing and purging as assigned.

Attends, participates, and completes on-line and face-to-face training as required.

Performs duties in an environmentally friendly (“green”) and LEAN manner as outlined in agency procedures.

Adheres to established procedures outlined in the Emergency Operation and Workplace Violence Action Plans and any other WCOA Policies and Procedures.

Performs other related duties as required.

Decision Making:

Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

Works with a degree of independence within the job classification and routine standard operating procedures of the WCOA office. When a decision concerning correctness and completeness of forms cannot be made immediately by telephone calls or researching, the employee may use their discretion to make the decision. When a decision cannot be made in a timely fashion or further researching is needed, the employee must follow their chain of command and escalate pertinent issues to the Supervisor for decision making.
