Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. Responsible for examining and data entering vehicle records to establish abandoned vehicles, process applications to establish a certificate of title or certificate of salvage. Collects monies and data enters proper amounts of monies. This employee provides clerical support services to the entire dealer unit by answering questions related to dealers, full agents, messengers and abandoned vehicles. Understanding and following oral and written instructions, along with face to face and via telephone with the general public, dealers and messengers. Incorporate the principles of customer focus, leadership at all levels and relationship building into our daily job functions. Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Examines information on Bureau forms to ensure proper completion of applications for abandoned vehicles. Data enters pertinent information using a computer to issue letters to owners/lienholders/salvors and to process applications for certificates of title/salvage. Must have full knowledge of the Motor Vehicle Code, Bureau forms, procedures and regulations adopted by the Department of Transportation pertaining to the licensing of Salvors and Abandoned Vehicles. Responsible for cash shortages, provided the guidelines expressed in Appendix “G” of the Clerical Administrative and Fiscal section of the AFSCME Agreement are met. Alerts management to errors occurring in work processing and determines appropriate training requirements. Shows empathy for customer’s problems and resolves, taking whatever action is needed regardless of the areas affected, without supervisory assistance. Identifies customer’s needs and interprets the Motor Vehicle Code, policies and procedures to the customer’s level of comprehension. Explains policy and procedures in such a manner that the customer is confident of direction given. Presents a professional, courteous image to represent high departmental standards. Safety 1. Assess your environment and be responsible for your safety, the safety of co-workers, and the public. 2. Attend required safety training and adhere to the requirements of all safety manuals, policies, and laws. 3. Immediately report to your supervisor any incident, unsafe practice, or near miss. 4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident. Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with others employees. Responsible for inquiries on DAS. Responsible for answering incoming phone calls. Responsible for answering incoming notepads. Responsible for running CLEANS inquiries on a secured terminal. Responsible for inquiries on Agiloft to check the staus on a agent contract. Responsible for answering incoming calls for the salvor hotline. Responsible for placing and removing stops on DAS. Performs other duties as assigned |
