Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides a variety of clerical and administrative support for the Centre County Maintenance Organization in the garage. This position is headquartered in Centre County but the incumbent will be responsible to perform clerical and administrative duties in both the Centre and Clinton County Maintenance Organizations.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Automated Fuel Distribution Clerk – These duties will include the daily maintenance of all records pertaining to the distribution of fuels. This includes fuel cards, security and clearances, reconciliation reports, daily and weekly transactions and records. This function will also include daily collection of fuel slips from field and administrative personnel and then forward to Accounting Assistant monthly.

Copying and distributing documents for county garage and maintenance staff.

Review M-614's daily for correctness. If M-614 is incorrect, note correction(s) needed and return to Foreman. If correct but has notifications, copy and give copy to Automotive Mechanic Supervisors to enter notification(s) in the computer.

File miscellaneous forms (M-614’s, M-824, etc.) daily in appropriate files in the equipment office.

Support personnel for Equipment Manager and Automotive Mechanic Supervisor as well as all other garage personnel. This includes typing of garage correspondence and maintenance of PC data.

Documents garage purchases and tracks parts orders.

Composition and collection of data with regards to equipment management and production of management reports using that data. i.e. equipment utilization, activity report, (M-4850, M-4855 reports, etc.)

Gather M-805's to record equipment operation, enter into SAP.

Enters work order data into appropriate ZIPY equipment screens daily and any other related duties.

Coordinator for 800 MHZ Radios.

Receptionist Duties: Greets internal and external customers in the Garage to provide services or direct them to appropriate point of contact promptly and courteously. Answer and direct incoming telephone calls to appropriate personnel.

Serve as back up Stock Clerk for monitoring stockroom issues.

Serve as backup to Parts Chaser.

All other duties required to maintain good office procedures and provide good customer service to all of our customers, both internal and external.

Purchasing:

Requisition all garage repair parts.

When invoices are received from vendor, attach the required documentation (requisition form, packing slips, etc.) and forward to Account Assistant for payment in a timely manner.

Contact vendors for quotes and follow ups for back ordered items.

Back up for County Timekeeper in the CT3's absence.

Enter garage payrolls into SAP daily, including temporary employees.

Maintain overtime equalization records for the garage staff daily.

Research garage time and leave errors.

Input highway payrolls uploading from ePayroll into MySAP/Plant Maintenance through the ZIPY payroll system daily.

Analyze timecards for completeness and math accuracy, recording hours, shift differential and leave on check off sheet

Knowledge of AFSCME contract agreement as it pertains to payrolls, equalization process and leave.

Balance all leave hours - SAP vs. check off sheet for correctness.

Other related duties include supporting the clerical staff in maintaining a smooth running garage office for the County. To perform these duties the garage clerk must meet all minimum standards of a Clerk Typist II. This includes the ability to perform basic typing functions and to efficiently operate a personal computer, fax machine, copier, postage meter, radio, do arithmetic calculations, communicate effectively, orally and in writing, and be able to compose general correspondence.

Recognizing that everyone is involved in the District’s actions to demonstrate sound environmental practices, each employee fulfills the maintenance unit business plan objectives related to the Strategic Environmental Management Program (SEMP). Also, supports the efforts of other employees to meet these objectives.

Attends environmental training designated for this working title.

Succession Planning
Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

Fair Labor Standards Act (FLSA):
Unless directed otherwise by your supervisor or manager, comply with stated work hours for 7.5/8.0 hour day.
