Position Purpose:

Provides onsite clerical and office support to the Compliance Section and assists the division to ensure its operations are conducted efficiently and effectively.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Receives, reviews and processes Certificate of Insurance forms by recording information into the WCAIS system upon receipt from business/employer.

Utilizes various databases including WCAIS, Unemployment Compensation, Microsoft Access, and L&I website to retrieve and maintain information for managing and updating identified business/employer’s address upon receipt of LIBC-661, LIBC-509 and LIBC-14A or any other Compliance related forms.

Answers incoming telephone calls, provides information and forms to the general public concerning various statewide programs administered by the Compliance Section to ensure conformity needed to comply with the Workers’ Comp. Act. Refers calls to investigators or manager, as appropriate.

Reviews incoming executive officer exemption applications (LIBC-509 and LIBC-513) to confirm employer profile exists in WCAIS.

Creates profiles in WCAIS based on LIBC-509 and LIBC-513 if none exists.

If profile exists when LIBC-509 and LIBC-513 are received, checks WCAIS for insurance and forwards State Workers Insurance Fund (SWIF) policy holder filings to SWIF.

Batch all documents to be scanned into WCAIS.

Open and sort all incoming mail for SFC Division and distribute to proper sections.

Reviews outgoing mail and insert forms needed prior to returning.

Open and scan returned mail and various documents on multi-function device.

Print UEGF Lien letters, track responses follow up with appropriate personnel.

Reviews resource account, prints forms, answer questions or forwards to Investigator or Manager.

Makes recommendations to improve various section processes.

Responsible for the organization and maintenance of files for prosecution or other administrative tasks.

Prioritizes the completion of various office tasks including correspondence, reports, memoranda and other documents, types of same using computer/printer.

Daily assists BWC Mailroom with duties such as:

Transports mail received, using mail carts, from mailroom to various bureau departments/other offices in the building.

Sorts incoming mail from US Mail, Labor & Industry, courier/messenger services, and delivers to appropriate work units.

Receives FEDEX, UPS and USPS packages for distribution to the bureau.

Tracks/logs courier deliveries and checks received.

Date stamps incoming mail either manually or electronically through scanners.

Pre-sorts incoming Fee Review Applications, organizing documentation and placing forms in a predetermined sequence.

Prepares documents for scanning operation using FUJITSU scanner or MFD.

Operates a scanning device, uploading forms into a computerized database; verify image quality is clear and legible. Manually count documents to verify scanning; stores and retrieves paper documents in scan sequence.

Indexes scanned document. This includes obtaining and verifying information by searching WCAIS and attaching documents to appropriate claims and accurately entering data.

Processes returned mail for bureau division, which includes claim number look up via WCAIS.

Upload documents from WCAIS to QDirect for central printing by LI, BAS.

Operate folding/inserting machines to prepare high-volume documents for mailing; manually folds/inserts documents for mailing.

Performs other related duties as required.

Review outgoing LIBC 661 for accuracy and refers issues to proper personnel.

Reviews incoming LIBC 661 for proper completions and determine next steps including updating records

Decides whether filed Executive Officer Exception Applications (LIBC 509) are complete, evaluates and determines actins to be taken.

Determines whether various section functions are operating efficiently and advises manager if they are not.

Determines the priority of various office tasks.

Essential Functions
