Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This is clerical work at the Parker Dam State Park Complex which involves varied, moderately complex work methods, problem solving, and direct service to the visiting public. Work normally involves the application of initiative and independent judgment, although decisions made are limited by established policies.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Greets public by telephone and in person. Disseminates park information, answers park-related questions, makes reservations, etc. using a friendly, courteous, service-oriented approach. Uses email to respond to visitor requests.

Collects revenue and issues permits or receipts for Cabins, Campground, Organized Group Tenting, Launching, and Pavilions. Uses Park Reservation System. Prepares refund requests for Manager's review and approval. Assures that permits/receipts and cabin keys are distributed prior to office closing each day. Coordinates cabin cleaning with cabin reservation schedule. Resolves problems with visitors such as double-booking or visitor set up on wrong site.

Creates reports from Park reservation system for staff and volunteers. Daily, reconciles all revenues receipted. Brings discrepancies to AA’s or Manager's attention. Prepares deposit slip for the corresponding amount for AA or Manager's review and approval. Enters deposit and withdrawal amounts in transaction book and verifies with bank statements. Electronically transmits revenue. Opens safe at the beginning of each day and secures all checks and cash at the end of each day.

Provides secretarial services to manager and other staff.

Composes correspondence from general instructions. Creates documents from copy, rough draft, or general instructions a variety of letters, reports, and records for Manager's review and signature. Proofreads and edits spelling and grammar. Work involves skilled typing and skilled use of electronic office equipment.

Prepares camp lease agreements and correspondence and monitors to prevent expiration of agreements for 3 camp leases.

Uses internet to find park-related information, materials and vendors. Reviews park website information for correctness and requests changes.

Monitors and updates Park owned social media accounts as directed. Responds to inquiries through social media.

Contacts vendors for trash and recycling removal, fuels, office supplies, merchandise and others as directed.

Stamps and routes incoming mail. Weighs and stamps out-going mail. Maintains stamp inventory record. Orders additional stamps as needed.

Determines supply needs. Prepares office supply orders for AA or Manager's approval. Prepares other requisitions and specifications from files, catalogues, and instructions. Prints forms, usually from internet.

Collects and electronically records information for park use, such as detailed utility reports. Enters monthly Vehicle Management System information. Reviews monthly fuel logs for accuracy and reports discrepancies to Park Manager/Maintenance Supervisor. Enters attendance data into required spreadsheets and databases. Completes and sends monthly swimming reports. Receives and files DEP sample results for water, sewage and swimming area testing.

Maintains and purges files in a complex filing system, following established procedures.

Responds or relays messages to proper individual for incoming radio/telephone calls and emails.

Gathers information from interest groups in the Manager's absence. Receives incoming comments and complaints from visitors and forwards them to Manager. Responds to park user comments on area damage and notifies appropriate park personnel for repairs.

Disseminates routine information to news media regarding park activities or snow conditions in Manager's absence.

Assists Park Environmental Education Specialist with news releases, arranges dates for park programs with upcoming guest speakers and school groups.

Operates radio base communications for general park employee contact, emergencies, etc. Responds to emergencies as outlined in the Emergency Action Plan.

Informs ranger(s) coming on duty of any problem situations or of any known past problem visitors or situations.

As directed, passes information to, and collects information from other government agencies such as the Fish and Boat Commission, Game Commission, Bureau of Forestry, Department of Environmental Protection, Office of Employment Security, State Police, etc.

Schedules interviews for Park Manager or Maintenance Supervisor and records responses. Assists new employees in the completion of personnel forms.

Assists AA with time and attendance input, including schedule substitutions.

Maintains and restocks merchandise in park office. Coordinates and orders additional merchandise with direction from AA/Manager.

Monitors and updates volunteer database. Enters hours for projects and volunteers as directed by Volunteer Coordinator.

This position requires the ability to operate a personal computer, calculator, scanner, facsimile machine, and copier. The computer is used in general correspondence, park records, etc. Backs up computer disk twice monthly.

Performs routine maintenance/cleaning of machines.

Conducts light cleaning to include dusting and vacuuming of office and EEC. Keeps brochure racks cleaned and stocked daily and requests more maps/brochures as needed based on inventory records.

Performs other duties as required.

Decision Making:
Describe the types of decisions made by the incumbent of this position and the types of decisions referred to others. Identify the problems or issues that can be resolved at the level of this position, versus those that must be referred to the supervisor. Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

Work is assigned in writing and orally by either the Administrative Assistant or the Park Manager regarding projects and programs to be completed. Routine operations are completed with minimal supervision. The Employee and either the Administrative Assistant and/or the Park Manager meet daily to brief each other on the status of current and future operations. Further directions are given as programs and projects proceed, if needed.

Employee works with a moderate amount of independence and follows established procedures and policies for most tasks. Supervisory guidance is received for new, non-routine, or changing tasks.

Purchasing, various reports, and responses to non-routine visitor issues are prepared for review and approval by the Park Manager.
