Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is part of the administrative and visitor service staff of Memorial Lake State Park Complex. This position is responsible for performing various administrative assignments, tasks and reports; works with the Pennsylvania State Parks Reservations & Revenue System (PRRS) in the collection of fees, and overseeing most of the visitor service operations of the complex. The employee in this position works independently on routine and non-routine jobs with minimal supervision, and is expected to perform duties in a responsible, professional manner. Assignments require familiarity with technical knowledge, and detailed knowledge of the functions, procedures, and organization of the Department and Bureau. Assists with the preparation of park purchasing, bids, contracts and documents.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Acts as the complex’s main receptionist in the park office. Provides service to park visitors by answering questions, giving directions, explaining park rules and resolving minor conflicts. Must be knowledgeable of all park facilities including hiking, picnicking, fishing, hunting, boating, winter activities and other park functions, as well as area attractions. Answers the telephone and either provides complete information or transfers the call to another staff person for assistance.

Follows Commonwealth procedures for collecting payments on checks that are returned for non-sufficient funds.

Confirms and processes Credit Card payments received. Reconciles monthly credit card bank statement for the complex.

Assigns mooring spaces, and administers mooring and launching decal program by ordering, assigning, reporting, and/or destroying permits within existing policies.

Demonstrates the operation of office machines such as computer, photocopier, fax, mailing machines, etc.

Administers various weekly, monthly, quarterly, and annual reports such as automotive, employee safety, gift and donations, and fuel disbursement. Resolves errors where possible and maintains current, accurate, and complete records, and ensures they are submitted to meet due dates. Prepares letters, memos, Letters of Authorizations, Waiver of Fees, Commercial Use Licenses, and ensures all necessary attachments are included. Prepares confidential reports as required. Handles all park mail at park complex, both internal and external. Responsible for park filing system in systematic order, including purging of files as directed by Commonwealth policy.

Handles public inquiries, whether written, telephonic, or e-mail, regarding the status of park facilities, activities, and those surrounding the park, forwards correspondence to manager or his assistants when necessary. Establishes and maintains an effective working relationship with other governmental agencies. Keeps bulletin boards and brochures updated with current information.

Assists in purchasing and maintaining inventory of all office supplies for the complex. Keeps inventory of commonwealth forms and brochures and orders as needed.

Operates computer systems by utilizing word processing, excel spreadsheets, databases, and operation of special programs. Creates various templates. Assists in resolving computer related problems of other park employees.

Operates all park office equipment, such as computers, fax, copier, park radio system, and adding machine.

Keeps the park office clean, neat, and organized.

Schedules and makes arrangements for conference room meetings.

Attends various training sessions as required. Overnight travel may be required.
