Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. This position serves as a liaison between the Bureau of Vehicle Management (BVM) and other state agencies, Commissions, and Legislative bodies in support of the Commonwealth’s Automotive Fleet. Provides support to Vendors, State agencies, Commission, and Legislative bodies and their designated Points of Contact. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 1. Processes the Used Car Disposition Reports (STD-556) for all vehicles and/or equipment that will be remarketed by our auction vendor. Including, but not limited to the procedures that are also carried out to perform this process as it relates to the inputting of data in our database and vehicles and/or equipment’s original MSO, Titles, Fuel Cards, Registrations, License Plates, EZ Pass and others. 2. Also processes the Used Car Disposition Reports for any/all “out-of-town” or “Off Auction Site” vehicles and follows same procedures as above also ensuring that all the required information is obtained and complete before the vehicle is processed for sale. (Working with the owning agencies to acquire photos and other vehicle information necessary for the remarketing process) 3. Responsible for the Auction remarketing sale process from startup to close out including, but not limited to data entry and verification of all information needed to be processed in our database 4. Assists in the creation of Power of Attorney forms for all non-DGS Agency owned vehicles and process for sale. 5. Verifies data and vehicle condition reports from auction company against sale sheet and titles for accuracy. (Ex. Equipment and Vin Numbers, year, make, model, odometer reading, options, etc..). Also assists to evaluate what reconditioning may be required to achieve the maximum residual values. This individual will work with subordinates and report to the Chief for final determination of services that may be needed. 6. Coordinate with the Office of the Attorney General any seized vehicles that may be offered for sale to double check for accuracy. 7. Continuing the remarketing sale process by being at the auction company on any day to sign any required documents. 8. Ability to process the transmittal for the sale proceeds from the auction company. 9. Assists in creating and developing training material (S.O. P’s) to be used for entry of the 556-disposition form and other related processes and trains subordinates in the process. 10. Prepares various forms in support of the Commonwealth Fleet. 11. Periodically checking the fuel island and washing bay for cleanliness and/or any safety concerns and making sure there are ample supplies for our internal customers. If supplies are needed, submit requests to our parts department. 12. Assists in making sure vehicle for “delivery” are fueled and cleaned and occasionally preforming “Wash & Vacs” 13. Assists in transporting vehicles to and from outside vendors, other agencies, and storage lots. 14. Performs other related duties. |

The auction remarketing process is a critical part of BVM’s Operational Division. The processes and procedures are always subject to change with the introduction of new technology and constant awareness for opportunities to streamline and optimize workflow to increase productivity. Major aspects to this position are, but not limited to: Time Management – Productivity – Communication (Verbal & Written) – Cost Efficiency – Analyzation of processes. This position requires that you will work with considerable independence while your immediate supervisor provides you with direction and assistance. You will also be challenged to “think outside the box” and be an integral part of increasing the success and efficiency of the department. |
