Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position supervises and participates in the work of mailroom staff in performing assigned duties within the Administrative Services Division at the Pennsylvania Liquor Control Board (PLCB).

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Serves as the mailroom supervisor and ensures cost-effective methods are being utilized to post and package outgoing mail. Supervises the proper preparation of mail and packages in accordance with the United States Postal Service and United Parcel Service (UPS) rates and requirements.

Ensures mailroom equipment is properly maintained and serviced. Makes recommendations regarding equipment upgrades and purchases to the Chief of Administrative Services (Chief).

Oversees the mailing of store promotional and costing signage.

Monitors funds on the mail meter postage machine and makes requests for replenishment to the Chief.

Ensures mail meters are utilized for official PLCB mail only. Reviews weekly UPS invoice to ensure that all packages were invoiced correctly for all shipments for PLCB only, disputes charges when applicable, and processes for payment.

Opens UPS claims for missing or damaged packages and monitors status until resolved.

Schedules mail messenger deliveries and pickups to field offices. Ensures that the routes are efficient and the most direct routes.

Maintains policies and processes pertaining to mail functions. Reviews regularly to ensure applicability.

Oversees the centralized office supply process and maintains agency office supply inventory. Completes and delivers orders to requesting office(s) in a timely manner while remaining within established budget thresholds. Monitors paper inventory and advises when stock needs to be replenished.

Updates the Graphic Arts portal with UPS tracking numbers of packages shipped.

Oversees alcohol product sample process of receiving, logging, verifying and securing inventory in designated storage room, as outlined in the policy, for all product samples received at the NWOB.

Meets with new or existing unit members in order to provide training, review changes in policies and procedures, make recommendations for improvements, and provide assistance on clerical matters in order to promote efficient operations.

Trains new or existing unit members on office equipment.

Performs other duties as assigned.
