Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. This includes our commitment to the Customer Service Policy and, specifically the following: 1) to be aware that customer satisfaction is important 2) to treat every customer with respect and dignity 3) to listen to customers concerns and feedback 4) to always be professional, polite, and courteous to customers 5) to find ways to provide better service 6) to recover from mistakes and 7) to generally strive to exceed customers’ expectations at every opportunity Responsible for examining and data entering temporary tag applications received from the public (dealers, messengers, etc.) or through the mail process. The employee must determine the required fee and documents have been received. The employee must select and pack temporary tag orders for counter customers. Also provides clerical support services to the entire dealer unit by answering questions for dealers, abandoned vehicle unit. Understanding and following oral and written instructions, along with face to face and via telephone with the public, dealers, and messengers. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Responsibilities include managing temporary tag inventory for business partners and Penndot issuing locations using the Centric inventory system along with DAS. Responsible for processing returns, credit, & refunds for temporary tags that have been returned by Agents and transfers them to various Penndot issuing locations. Monitors, adjusts & replenishes temporary tag inventory levels of various Penndot issuing locations. Monitors and adjusts temporary tag levels of Agents as needed. Reviews and processes requests for credit or replacement of temporary tags for Agents. Identifies customer’s Responsibilities include managing temporary tag inventory for business partners and Penndot issuing locations using the. Centric inventory system. Responsible for processing returns, credit & refunds for temporary tags returned by out of business Agents. Maintains an inventory of unused temporary tags that have been returned by needs, and interprets the Motor Vehicle Code, policies, and procedures to the customer’s level of comprehension. Explains policy and procedure in such a manner that the customer is confident of directions given. Alerts management to errors occurring in work processing and determines appropriate training requirements. Request and verify proper ID of customers to complete transactions. Attends meetings and training programs as required. Prepares reports, surveys or documentation as required. Contacts proper area for repairs in equipment when needed. Show empathy for customers problems and resolves, taking whatever action is needed regardless of the area affected, without supervisory assistance. Determines when human needs of a customer are not being recognized and realizes when the customer will disrupt the business transaction or create conflict situations and take independent action to resolve the situation. Presents a professional, courteous image to represent high departmental standards. Complies with safety administrations customer service and confidentiality policies. Responsible for ensuring that the correct fee waiver code is used and properly documented whenever a fee waiver is necessary to process a customer transaction. Complies with all aspects of the Fee Waiver Guidelines. Performs other duties as assigned. |
