Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Supervises a team of Legal Assistant 1 & Legal Assistant 2 staff to provide advanced legal assistant and office support services within the Department of State, Legal Office to ensure its operations are conducted efficiently and effectively.

Description of Duties:

Supervises a team of Legal Assistant 1 and Legal Assistant 2 (LA) staff regarding the approval of timesheets, leave requests, and all other administrative needs. Performs the full range of supervisory duties including enforcement of all office, agency, and Commonwealth rules, policies and procedures.

Maintain LA staff position descriptions and performance standards.

Conduct employee performance evaluations and progress reviews as required.

Assigns work to LA staff in a manner that ensures efficient and timely completion of the work of the division. This requires oversite of the Prosecution resource account and maintaining, tracking, and assigning work to staff on an intricate spreadsheet.

Reviews and approves assignments completed by LA staff for accuracy, conforming to standards, and to determine what further processing or action is required. Directs LA staff in any changes, corrections, or what further action is required.

Trains and advises LA staff on all procedures, rules, regulations, and style guidelines related to the assignments being completed and the attorneys or boards being supported. Also trains LA staff on the use and basic maintenance of standard office equipment. (i.e. fax, copier, printer).

Oversees the training and managing of the temporary clerks workload.

Updates and maintains the LA manual including all current policies and procedures.

Reviews and assesses overall effectiveness and efficiency of operations and makes recommendations for improvements, such as updating procedures, changing policies, additional training, team assignments, attorney assignments, and individual assignments.

Directly assists attorneys, Senior attorneys, and Deputy Chief Counsel attorneys to complete a wide variety of assignments, special projects, and other administrative needs.

Supervises and participates in the review and organization of consent agreements, exhibits, motions, and other documents to be filed before the BPOA prothonotary or Commonwealth Court to be used in support of a case and to ensure that all legal and procedural requirements are met.

Tracks and processes all incoming civil penalty payments to the Prosecution Division.

Attends all mandatory trainings and remains up to date with all relevant rules, regulations, policies and procedures related successful supervision of the LA staff.

As Supervisor, he/she/they may participate in the performance of LA staff work consistent with operational or organizational requirements, which may include support of the office reception duties.

Performs other related duties as assigned.
