Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is assigned to the Department of Environmental Protection Southwest Regional Office's Central Services Department and performs primarily as the receptionist for the Pittsburgh Office.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Operates a multi-line call directory at the main reception desk at the Southwest Regional Office of DEP. Answers all incoming calls, screens and directs them to the proper individual/program contact, district field office or outside agency.

Receives visitors and provides regional assistance/information or directs them to appropriate personnel or agency.

Ensures that visitors sign in and out on the Visitors Log Sheet and issues visitors' badges.

Maintains and updates receptionist desk manual.

Ensures that Emergency Response calls are directed to appropriate staff in a timely manner.

Records and forwards all environmental spills in a timely manner.

Checks and signs for any packages and mail that are delivered to the reception desk.

Provides water test kits to the public. Collects required payment for each test kit and other payments received at the receptionist desk. Records all necessary check/money order transactions and issues a receipt to the customer.

Forwards calls to answering service at the end of the workday and reports phone problems with tone commanders/telephone lines to the IT Coordinator/Supervisor.

Determines if Informal File Review requests are consistent with Department public information policy.

Receives and processes the Informal File Review request, research eFACTS, clarifies requests with requesters and communicates with requesters through emails and phone calls.

Updates the Informal File Review Excel spreadsheet and SharePoint folders.

Prepares various types of records for digitization including creating start sheets, digitizing records, and checking/uploading digitized records into OnBase and the appropriate SharePoint folders.

Acts as the back-up for Central Services however necessary.

Enters data accurately following DEP’s quality standards and minimizing duplicates using available tools.

Promotes the Department’s mission.

Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.

Tasks and priorities are discussed with the Clerical Supervisor.

Work schedules and priorities are subject to change often, due to external influences and time frame constraints.
