Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This is responsible clerical and manual work in the
operation of a Storeroom/Receiving Department of Torrance State Hospital, which is responsible for the receipt, storage, controlling and distribution of all commodities used by the facility.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Develops efficient storage methods, including the allocation and arrangement of bins for storage.
Maintains proper maintenance of records incident to periodic inventories, receipt of goods, and issuance of supplies.
Maintains accurate informational records for each purchase order document.
Maintains good sanitary conditions in all storeroom areas, such as, chemical supply storeroom, paper good storeroom, Medical supply areas, stationary and clothing storeroom.

Work is performed with consideration, independence within the assigned area of responsibilities and direct relation to and cooperation with the Storekeeper, Purchasing Agent, Business Manager and Accounting Department.


Receives, examines and records the receipt of supplies. Stores supplies in properly assigned storage areas. Receives delivery orders and places in proper storage areas ie papergoods, central supply, cookie room, chemical etc.

Ascertains that goods received agrees with freight bill of lading, packing slip, etc. Accepts or rejects supplies as indicated, insuring conformance to specifications.

Completes paperwork indicating a partial or final receipt.

Independently prepares requisitions for stock replacement with review of a storekeeper 2/ supervisor.
All Agency Purchase Requests must be approved by Storekeeper 2 / Supervisor.

Prepares Hospital requests for supplies by filling requisitions from all departments following the scheduled delivery times. Receives, examines, and records the receipt of
goods; stores goods in proper storage places; receives delivery
orders; withdraws goods from stock maintaining the the data base in the online folder, checking for required commodity size and lot; posts incoming and outgoing commodities to
perpetual inventory records thru SAP/SRM and Excel/Data base programing.

Logs incoming and outgoing shipments noting date of
receipt/shipment, contents, and destination; inspects quantity, expirations and
quality of commodities to insure conformance to specifications;
accepts or rejects goods as indicated; completes a receiving
report noting partial or final. Reports damaged goods immediately
to the Storekeeper and/or Purchasing Supervisor.

Assembles and packs shipments; contacts Storekeeper/Purchasing
to arrange for shipping; oversees and assists the proper loading
of goods.

Initiates requisitions for replenishment of stock on the basis of
supplies on hand and departmental use; reviews inventory records
and the utilization of supplies in order to avoid overstocking
items having a low turnover rate. Follows first in, first out for rotating stock.
Examines dates for expiration and maintains proper distribution of all stock items.
Notifies Storekeeper of all expired items for proper disposal and removal from inventory.

Notifies Storekeeper 2/ Supervisor of stock needing to be replenished.

Storekeeper 2 will issue/ release requisitions that are on the SAP/SRM system for assigned areas. In order to maintain inventory in all areas of the storeroom all issues with your area of control must be reported to the Storekeeper 2 for either deletion or adding back into the inventory. At no time adjustments to inventory without an email aknowledge from the Storekeeper 2/ Supervisor or the Chief Finnancial Officer.

Operates a fork lift, hand truck or other storeroom equipment to move oversized or heavy materials.
Takes or assists in taking physical inventories of stock. Helps out in other areas
Of the storeroom under the Storekeeper’s direction, Maintains the cleanliness of
all areas of the storeroom that include sweeping, mopping, running a scrubber and removal of trash.

Performs related work as required at the discretion of the Storekeeper/Supervisor.
Must be able to work independently with little Supervision.


Decision Making:

Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature.

Notifies the StoreKeeper 2 and purchasing department relative to incorrect shipments, damaged shipments, late shipments, etc. for action.
Maintains accurate informational records for each purchase order document.
Inspects quantity and quality of materials received to see that they conform to prescribed specifications; accepts or rejects goods as indicated; approves invoices for payment. Rotates inventory to enable product use before date expiration prohibits such use and items require disposal. Confers with Storekeeper and administrative supervisors on replacement problems and new purchases.
Performs related work as required. Will assist in other areas of the Storeroom per direction of the Storekeeper/Supervisor.
