Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides clerical and office support at the Laurel Hill Complex (Laurel Hill, Kooser and Laurel Ridge State Parks) to ensure it operations are conducted efficiently and effectively.

This position performs duties that are routinely executed seven days a week and will be routinely scheduled to work weekends, evenings and holidays as needed for park operations and to meet seasonal needs.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Greets visitors at Laurel Hill State Park Complex (Laurel Hill, Kooser and Laurel Ridge State Parks) and provides information to park visitors. Answers telephone inquiries along with written inquiries. Answers all incoming calls and either answers questions or transfers to appropriate personnel. Assists visitors with information in regard to interest in employment with the Commonwealth in both Civil Service and Non-Civil Service positions.

Works with considerable independence through the standards and procedures set forth by the Bureau as well as those standards set forth by Park Management to ensure visitor service and safety is held to the highest standard. Assists visitors with information pertaining not only to the Laurel Hill State Park Complex but also the many points of interest that can be found throughout the Laurel Highlands.

Utilizes a variety of software applications on Park computers including, but not limited to, Outlook, Word, Access, Excel, Internet Explorer, Park Reservation System and point of sale software for maintaining the Laurel Hill Park Office as well as the Kooser Park Office and all other locations within Laurel Hill Complex as needed.

Establishes, reorganizes and maintains files pertaining to the overall Park Complex Operation. This will be completed by having an intimate knowledge of the standards set forth for records retention. Items shall include but not limited to personnel information, confidential information, policy and procedures, research, plans and documents, etc.

Maintains control documents such as records and logs by writing or posting pertinent information about data, individuals, materials, and park operations, onto the document to reflect the disposition, amounts, results, production, time, organization, status, transaction, or other details for the Laurel Hill Park Complex. This includes updating and maintaining electronic files in the shared folder.

Performs arithmetic computations including daily reconciliation of Park Reservation System cash drawer.

Proofreads typed materials to insure the transfer of information is grammatically and typographically correct, complete, and adheres to DCNR/Park rules and regulations.

Composes memoranda in reply to requests or questions related to park or volunteer information. This information is then reviewed and approved by the Park Manager.

Monitors and interacts with volunteers through the DCNR Conservation Volunteer Database.

Registers, certifies, and insures outgoing mail in the most economical manner for the Laurel Hill Park Office.

Operates a telephone with the capability of multiple lines switching to receive incoming calls, provide organization and location information, transfer calls, and place outgoing calls. This function is performed at all locations including the Laurel Hill Park Office Kooser Park Office, Laurel Hill Visitor Center, Laurel Hill Campground Contact Station or the Laurel Hill Beach Contact Station.

Operates office and mail processing machines such as calculator, cash drawer software, copier, fax machine, laminator, postage meter, scanner and labeling machine.

Monitors and responds accordingly, to Park owned social media accounts through the direction of supervisors and lead workers.

Maintains reservations for pavilions, lodge, cottages, cabins, organized group tenting, organized group camps, camping, backpacking, boat mooring and boat launching permits. Acts as the liaison for all reservations related to organized group camps to include but not be limited to inquiries, billing, restitution, check in and check out.

Sends out form letters, and receipt of payments to assist Park Management in their duties.

Assists with the submission of monthly attendance and automotive reports.

Operates park radio, transmits messages and coordinates communication as the main park contact utilizing established radio equipment.

Keeps all pertinent brochures stocked at the Laurel Hill Park Office and other duty locations. Distributes brochures and supplies throughout the Laurel Hill Park Complex as needed.

Maintain bulletin boards both inside and outside of assigned work location.

Interprets rules and regulations in regard to public inquiries.

Assists in the coordination of seasonal mooring including the wait list.

Performs related work as required.

Employee works with considerable independence within standard operating procedures and established processes, however, detailed supervisory guidance and review is received for new or unusual situations and changes in operating procedures and policies. Decides when issues with park visitors demand management attention.
