Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Position is responsible for mailroom and duplicating/print shop services along with manual labor throughout the Commission to help ensure operations are conducted efficiently and effectively. Duties include but are not limited to the following: Mailroom Responsibilities: Responsible for providing mail and messenger services to the Commission. Includes sorting incoming mail into designated bureaus for delivery; operation of mailroom equipment: scales, postage machine, folder/inserter machine; inputting data by scanning and typing information to record incoming and outgoing certified, registered and other controlled mail; distribution of controlled mail and obtaining signatures for proof of delivery; pickup and delivery of regular mail throughout the agency on a regular schedule; preparing outgoing mail: weighing, postage, sealing and labeling; handling special mailings; preparing UPS labels and packages for delivery; delivering processed mail to the dock area for pick-up by USPS, DGS and UPS by specific times; occasional delivery and pick-up of mail and supplies throughout the Commonwealth Complex, US Post Office, Commonwealth Mail Processing Center and local vendors. Responsible for maintaining a database of e-certified signatures daily. Download e-signatures from vendor or USPS website and download signature into PUC database. Monthly closeout of e-certified signatures for supervisor. Maintains a spreadsheet of all returned mail. Files daily reports and maintains records according to record retention schedule. Duplicating/Print Shop: Serves as the lead worker in the duplicating shop. Monitors resource email account to provide printing services as requested by each bureau. Completes bureau request by operating a wide variety of duplicating equipment including but not limited to copiers, binding machine, folder inserter machine, drill press, paper cutter, shredder, laminator and mail machine. Must have knowledge of software programs that are utilized to run mail merges and print jobs. Conducts quarterly inspections of all machines to ensure they are meeting safety regulations. Responsible for making service calls on all equipment. Maintains and request/orders supplies for all the equipment in the work unit on an as needed basis. Knowledge and procedures of DGS PA Publisher to process orders of post cards, pictures and frames, business cards, special letterhead paper and any special request. Deliver completed print jobs to bureau. Other duties: Event set up and tear down tables, chairs, and screens for meetings within the agency. Assist with relocating, and moving furniture and fixtures throughout the Commission, including occasionally putting items together. Assist Surplus Coordinator in processing and packing of merchandise for disposal or shipping. Assist with purging files and old paperwork in accordance with Records Retention standards. Assist with pulling and delivering supplies from the storeroom and incoming packages. When needed pick-up and delivery of merchandise/supplies at vendor locations. Help to transport Executive staff and pool vehicles for service or cleaning when needed. Responsible for assisting with monthly reports and entering figures into OneDrive. Assist with inventorying storeroom and other related duties as assigned. |
