Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 20% Types Administrative Investigation Reports, Initial Crime Reports, letter and memoranda by Liquor Enforcement Officers in the Incident Tracking System. Meets all deadlines on preparation of reports and processing of reports, via ITS system. Prepares routine letters upon submission of applicable reports. Must have ability to determine, without instruction, when these letters are required. 15% Create incidents in the RMS/CAD system and ITS system. Obtain PLCB licensing info for district office personnel. Also become cross-trained in entering of Initial Crime data for incident reports and non-traffic citations. 10% Cross-trained in duties of district office Timekeeper, Shift Planner, and Travel Arranger. Includes coding appropriate overtime, verify entry of leave in ESS for all personnel, and assist with submission of weekly duty roster for district office personnel. Attend training when required and act as liaison between the district office and headquarters. 10% Maintenance and general operation of the District Office Advancement Account and Purchasing (P-Card) procedures to include maintaining a record and ordering of supplies, via the On-Line Account, and Central Supply (Troop F Headquarters). Process of payments/invoices per procedures. 10% Assist with the maintenance of station copy of correspondence and directives on Department, Troop, and Station level according to AR 1-3. Ensure proper postings are posted throughout building. Alternate hearing/court scheduler via ITS system. Assist with typing of meeting minutes and ensure proper distribution via posting and Microsoft Outlook. 10% Maintain the confidential advancement account which includes issuing checks, submitting bi-weekly expense packets to headquarters, and preparing bank reconciliation monthly. 5% Filing of PLCB renewals, licensing documents & transfers, PSP-BLCE investigative reports and forms, CLEAN messages, incident reports, inactive files, general correspondence, and purging of same according to regulations. 5% Update Non-Traffic Citations via ITS system. Maintain copies of all notice of violation letters, warning letters, NTC's, and criminal complaints in filing system. 5% Answer district office telephone, retrieve messages off answering machine, and assist the public at the counter. Prepare incoming/outgoing mail and distribute accordingly. In the performance of your duties operate various office machines such as a calculator, scanner/copier/fax machine, telephone, answering machine, postage scale & meter, and paper shredder. Assist with the routine maintenance of these office machines. 5% Maintain certification in the Commonwealth Law Enforcement Assistance Network, to be able to send and retrieve messages and query data for the liquor enforcement officers and supervisory staff. 5% Performs other related job duties and assigned tasks as specified by the District Office Commander, Enforcement Officer 3, Clerical Supervisor or other higher authority. |
