Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides clerical support to the Station Commander and other station personnel by ensuring the Station’s clerical/administrative operations are conducted efficiently and effectively.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

20% Prepares and types various correspondence and reports. Proofreads various documents to ensure that they are completed in a grammatically correct manner and consistent with department regulations.

20% Transfers data from incident, supplemental, homicide, and investigation reports into a prescribed computerized format. Reviews reports for adherence to processing standards and forwards to troop headquarters. Enters and submits Uniform Crime Report data. Maintains statistics.

15% Orders expendable supplies from troop headquarters. Purchases supplies and services with the Station’s purchasing card. Processes Purchasing Card payments, maintains the Purchasing Card Account files, and performs monthly reconciliation. Routes invoices that cannot be paid with Purchasing Card to Troop Headquarters for payment by the Troop’s Advancement Account Custodian.

10% Prepares, processes, and updates personnel-related benefit forms and forwards to troop headquarters for further processing.

10% Maintains, updates, and purges various files in numerical, alphabetical or subject order. Maintains Station reference libraries by filing new and purging obsolete directives. Distributes and posts documents according to Department regulation.

10% Inputs approved work schedules to SAP Shift Planner, to include assigned shifts, court and other appointments, prescheduled leave, and scheduled days off. Creates daily/weekly duty roster. Inputs call-offs and changes to the Shift Plan.


5% Receives requests for information from Department and non-department sources. Obtains information and prepares an appropriate response. Processes incoming and outgoing mail. Operates and assists station personnel in the use of postage meter.

5% Reviews correspondence regarding changes to Department regulations and procedures and implements same. Attends training.

5% Performs other related duties as assigned, to include those outlined in the Departemnt's CoG Plan when the Plan is activated. Responds to the designated alternate or secondary location when directed in response to a catastrophic incident.
