Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Responsible for 813 and 822 purchases involving equipment, fuel, services, utilities, and building/grounds maintenance. Responsible for coordinating the removal and pickup of scrap metals, waste oil, and hazmat. Keeps track of mail machine postage and request meter reads, postage refills and other needs as needed. Prepares and monitors 813/822 rented equipment bids through e-procurement in conjunction with maintenance activities and annual work plan needs. Orders building maintenance materials such as paint, lumber, and janitorial supplies and coordinates delivery. Ensures material availability for maintenance projects and maintains contract files. Initiates purchase orders, prepares product or service specifications, identifies and maintains qualified vendor lists, prepares and issues Requests for Quotes (RFQs), receives, reviews, and certifies bids, and recommends contract awards. Serves as back-up SAP physical inventor counter and SEMP Coordinator. Responsible for traveling to county stockpiles monthly for inventory purposes. During winter services, maintains an inventory database of anti-skid and sodium. Recognizing that everyone is involved in the District’s and County’s actions to demonstrate sound environmental practices, each employee fulfills the maintenance unit business plan objectives related to the Strategic Environmental Management Program (SEMP). Assists in evaluating maintenance work operations to develop and verify operation work standards. Gathers data for County compliance with various measures of efficiency and effectiveness to include Maintenance IQ and Flash Reports. Utilized as a backup to both the Stock Clerk and RPT2 (Highway) when needed. Assists the RPC with budget development and monitoring by preparing expenditure reports, monitoring, and adjusting purchase documents. Assists County management by researching costs and material usage utilizing Plant Maintenance and Business Warehouse Reports and other sources of data. Prepares charts and graphs from Plant Maintenance data and material sheets as requested. Management of the materials component of the SAP Plant Maintenance and Supplier Relationship Management (SRM) Systems for the county organization. Directs the purchase, receipt, storage, and issuing of equipment repair parts, building maintenance and garage storeroom items to ensure the availability of resources, as well as the efficient and effective use of resources. Prepares items for surplus or transfer as appropriate and makes recommendations related to damage, unusable, or unnecessary items. Assists in overseeing the establishment and maintenance of inventory records in accordance with Department policy and ensures that various methods of inventory control are employed and adhered to. Succession Planning Actively engage in succession planning by assessing potential vacancies; identifying current and future critical needs and competencies; and assessing the interest, availability, and readiness of current staff and candidate pools. Work with employees to complete and maintain a Career Development Plan. Engage employees and recognize employees and their accomplishments. Establish a mechanism to identify, capture, and share explicit and tacit program/technical knowledge of staff. Department Green Plan Policy Commit to following the Departments Green Plan Policy (Pub 712) and the associated principals. Failure to comply with the Department Green Plan Policy shall be documented in employee's performance review. Fair labor Standards Act (FLSA) Understand your responsibilities as a supervisor under FLSZA to ensure that employees are paid appropriately for hours they work or are allowed to work – i.e. all time spent furthering the the business of the Department. Ensure that your employees are performing work only within their regularly – assigned shift hours, unless overtime has been directed and approved in advance of completed work. |
