Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Performs clerical and office support functions to ensure efficient and effective operations. Performs time and attendance activities for employees to ensure completed and correct compensation.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

CLERICAL SUPPORT
* Provides clerical support for all the district programs.
* Monitors two-way radio system. Sends, receives and relays messages as necessary.
* Dispatches fire suppression and search and rescue personnel by phone or radio.
* Prepares and maintains district contact, radio call sign, and district emergency contact lists.
* Prepares reports and correspondence for district staff using Microsoft Office programs and collaboration tools such as Adobe Acrobat, Teams, etc.
* Creates, sorts, files, and retrieves physical and electronic documents and folders.
* Monitors and maintains supply of maps, recreational information, brochures, office supplies and forms. Notifies AA when office, janitorial, copier supplies and postage need replenishment.
* Prepares computer designed signs for State Forest needs which may include the operation of laminating equipment.
* Greets visitors and answers telephone calls for the district office. Takes messages and makes referrals to other departments, bureaus, agencies or programs when necessary.
* Answers questions from the public on topics such as equestrian, mountain/E- bike, cross-country ski, ATV and snowmobile use on state forest and directs them to the appropriate trails. Provides contact information to register ATV and Snowmobiles thru DCNR.
* Issues camping permits when needed but primarily provides campers with information on how to reserve sites online. Informs campers of the relevant rules and regulations.
* Sells ATV, launch, fuelwood and other non-timber forest product permits through the Aspira system. Accepts payment, prepares receipts and directs customers to appropriate sites.
* Responds to voicemail, postal mail and email when possible. Directs calls to the appropriate programs when needed. Prepares outgoing office mail.
* Takes notes at meetings and transcribes same for distribution.
* Serves as coordinator for reserving conference rooms, and Jersey Mills House and Pump Station cabin as well as maintaining the calendar of upcoming events.
* Attends trainings related to performance of duties.
* Maintains training records for district employees in ESS.
* Provides information on procedures and assists persons interested in working for DCNR

PAYROLL/LEAVE RECORDS
* Acts as timekeeper for approximately 50 wage and salaried employees.
* Determines appropriate labor distribution codes and enters them into SAP system.
* Reviews employees requests for overtime. If the overtime request is not completed correctly, the timekeeper clarifies the information with the employee and his/her supervisor.
* Keeps district management aware of any potential issues with time/leave.
* Reviews requests for work schedule changes. Makes short-term substitutions and sends long-term schedule change requests to the appropriate Time Advisor.
* Enters approved leave requests for employees who do not have access to ESS and maintains leave records for all salary and wage employees.
* Calculates and enters the correct hours to be paid for Working Out of Class status, Shift Differential, Hazard Pay or Training Pay in accordance with policy and union agreement.
* Views time data screens and runs reports as required. Processes payroll audits as necessary.
* Maintains data in databases for things such as overtime equalization.
* Responds to requests from employees, supervisors and HR staff. Researches issues regarding incorrect pay or leave balances and follows up via telephone or email with employee or supervisor.
* Submits requests for Worker’s Compensation and FMLA documentation and supports submission of documentation to the appropriate specialist. Refers employees and supervisors to panel doctors with correct paperwork and procedures.
* Reviews and submits timesheets submitted by employees involved in the Out of State Fire program for conformance to the relevant rules and regulations.
* Reviews and enters travel expense reports for EFF’s and district staff as needed.
* Submits a consolidated time and expense trip packet to Forest Fire Protection.
* Acts as district Travel Arranger by assisting with travel requests and expense reports.
* Provides ESS support to the district staff.

EQUIPMENT MANAGEMENT
* Prepares monthly automotive reports. Submits the required reports thru VMS system.
* Maintains a log of district vehicles and equipment providing reports as needed.
* Maintains lists of automotive vendors/tire vendors.
* Submit in-house vehicle repair reports to DGS.
* Maintain supply of repair/accident forms.
* Assists employee in completing Automotive Accident Report.
