Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Under the general supervision of an Administrative Officer, incumbent is responsible for the following duties within the section: Has a working knowledge of the Workers' Compensation Act, Occupational Disease (OD) Act, and the Rules and Regulations governing them. Reviews and evaluates submitted Supersedeas Fund Reimbursement (SFR) applications, including submitted proof of payment logs and supporting documentation, for completeness, acceptability, and reasonability. Determines the appropriateness of the request and the veracity of the supporting documents. Identifies and rejects SFR applications which are missing fundamental, required, or questionable information. Generates and provides a detailed Pending Rejection and/or Rejection letter to necessary parties. Communicates with applicants to discuss missing or questionable information and requests new documents or information as appropriate. Identifies potentially improper filings. Determines applicable reimbursement date range and calculates potential medical and indemnity reimbursement amounts based on the request defined in accepted SFR applications. Prepares the appropriate worksheet detailing these facts and calculations for BWC Legal review/approval. Organizes all required documents and information for all accepted SFR applications as per BWC Legal requirements. Completes assigned tasks in WCAIS, including data entry of detailed notes regarding potential barriers to reimbursement that may require legal intervention or adjudication to aid the assigned BWC Legal staff in their review. Generates the appropriate Discrepancy or Determination letter based on completion of BWC Legal review and assignment of task in WCAIS. In absence of the Administrative Assistant, answers stakeholders' inquiries regarding timing of distribution payments and enters data for claimants who have passed away. Communicates effectively with stakeholders (i.e. Attorneys, Insurers, and Self-Insured Employers) via telephone and written communication; as well as internally with BWC Legal, Appeal Board, Judge Managers, and other staff as needed to resolve SFR questions/discrepancies. Provides the SF&C Chief, SF Manager, and BWC Legal with a status updates of any/all SFR Applications weekly or as requested. Monitors Resource Account emails and answers Supersedeas related questions. Performs other related duties as assigned. |

Example: In response to a customer inquiry, this work involves researching the status of an activity and preparing a formal response for the supervisor’s signature. Determines disposition of Supersedeas Fund Reimbursement (SFR) applications based on experience and personal judgment regarding the facts and circumstances of the application. The employee has the authority to deny payment and/or modify reimbursement amounts based on the employee’s judgment regarding the truthfulness and applicability of the expenses being reported. Calculates and recommends potential reimbursement periods and amounts based on a thorough analysis of submitted application, including supporting financial and legal documentation. Identifies correct worksheets to complete and upload for BWC legal based on facts of case and reimbursements requested on SFR applications. Generates applicable correspondence, including Discrepancy and Administrative Determination letters based on information provided by BWC Legal staff. In response to external stakeholder requests, reviews reimbursement calculations and provides reasons for any discrepancy between requested and approved amounts via telephone or written communication. |
