Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Works under the supervision of the Rare Collections Librarian to assist in the organization, preservation, and promotion of Rare Collections materials through exhibits, presentations, social media, website, and digitization. Assists with engaging users and providing in-person and remote access reference services.


Description of Duties:

1 . Collection Management and Preservation

a. Assists with intellectual control of rare and newspaper collections by compiling inventories and identifying cataloging discrepancies and deficiencies and making corrections.

b. Processes new acquisitions and performs copy and original cataloging of materials.

c. Assists with identifying materials in closed stacks for transfer to rare.

d. Leads physical organization of collections by organizing and maintaining shelving areas including:

• working with heavy and bulky materials and handling dusty items.
• physically shifting, retrieving, and re-shelving items.
• creating and maintaining efficiency and clarity in the arrangement of materials in
storage for ease of retrieval.
• cleaning materials, public service areas and storage areas.

e. Assists with preservation activities including:

• identifying newspaper microfilm where archival and service copies do not match for the same newspaper.
• identifying print copies of newspapers not contained on archival microfilm.
• identifying print materials needing preservation or conservation.
• Monitoring, troubleshooting, and maintaining climate control, lighting, and pest monitoring on a regular basis.
• creating preservation housings and tying and interleaving to protect vulnerable collection items.
• assisting with disaster preparedness and response.

2. Assists with providing reference service to the collections in conjunction with the Rare Collections Librarian(s) by:

• staffing reading room point of service and providing reference assistance.
• maintaining the security of the collections through user surveillance and instructing users in the proper handling and use of materials.
• evaluating and fulfilling patron requests in-person or by email, phone, or mail.
• paging materials.
• providing photocopies and/or scans of materials at patron request following relevant copyright guidelines, while preserving original items from damage.

3. Assists with design, preparation, and mounting of library exhibits and creating social media and website content featuring rare collections.

4. Assists with the presentation of rare materials to visitors and students. This involves setting up and tearing down displays, preparing and presenting content, and supervising use of materials.

5. Scanning, digitization, and digital asset management. Working in conjunction with the Rare Collections Librarian and Digitization Section, The Library Technician takes the lead on:

a. preparing and digitizing rare print, photographic, and legacy audio-visual materials on demand for patrons, utilizing various scanning and digitization equipment. Manipulates and edits results using appropriate software.

b. identifying print, photographic, and legacy audio-visual materials in Rare Collections for purposes of preservation or digitization for presentation through the Library’s digital asset management system.


c. troubleshoots and keeps digitization equipment in working order.

6. Performs other duties as required or assigned by the Rare Collections Librarian or Bureau Director to assist in the efficient operation of the library. Work may involve evening and weekend hours in the library's reading rooms.

• Uses judgement in safe handling of Rare Collections during use and digitization.
• Uses judgement in monitoring climate and recommending changes and responding to HVAC monitoring software alerts.
• Evaluates and recommends materials for conservation or digitization.
• Applies gained knowledge in the choice of effective hardware and software for the digitization projects to be accomplished.
• Uses judgement in providing accurate cataloging and access points in bibliographic records.
• Uses judgement in effectively maintaining physical organization and safe storage of collection materials.
• Serves as lead in performing and directing team tasks in absence of librarians.

Experience:

Minimum Experience and Training Requirements:

• Two years as a Library Assistant (commonwealth title); or Two years of library-clerical experience and an associate degree; or an equivalent combination of experience and training.

Essential Functions

 1. Use standard office equipment, Microsoft Office, and Adobe Suite software.
 2. Establish and maintain effective working relationships.
 3. Utilize Alma Integrated Library System to search and manage collection inventory and to perform cataloging.
 4. Communicate effectively orally and in writing.
 5. Utilize cataloging tools, controlled vocabularies, and bibliographic standards including LCSH, DDC, MARC, RDA, etc.
 6. Apply environmental standards for preserving paper-based collections, HVAC equipment functions and utilize to use dataloggers and HVAC monitoring
 7. Develop advanced knowledge of special collections theory and practice.
 8. Utilize digital asset management software.
 9. Operate flatbed and overhead scanners.
 10. Lifts, pushes, and pulls up to 45 lbs and accesses all library materials storage areas including shelving to 89
