Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Under the direction of, Roadway Programs Coordinator this position is responsible for performing clerical support functions in the processing of garage employee's payrolls through the SAP system. This position is responsible for performing clerical support functions in the processing of garage employee's payrolls through the SAP system. Serves as the primary timekeeper for all Allegheny County equipment payrolls utilizing SAP. Updates and instructs fire evacuation plans. File all fuel receipts (WEX) by card number. Ensure all fuel receipts (WEX) have a name, equipment number, and mileage. Reconcile WEX monthly invoice. Match receipts to invoices. Contact employees that have not turned in WEX receipts and request surrogate receipts if necessary. Request, activate, and delete stolen, missing, or damaged WEX cards for employees within Allegheny County. Keep accurate records of all WEX cards as to active or in active. Ensure a signature form is on file for every active card. Keep an accurate log of all spare WEX cards to show who is using them. Assists Clerical Assistant 3 with highway payrolls and the e-payroll system. Serves as the back-up to the Clerical Assistant 3 and is required to assist when directed by management. Assist all staff involved with payroll processing reports including equipment and highway payrolls. Organizing and filing equipment payrolls. Organize and file M-614’s. Assists Equipment Manager with performing M-614 audits. Responsible for sending OS-880’s and equipment payrolls to Harrisburg annually. Completes typing, data entry, filing, and other general clerical duties as assigned. Prepares letters such as, but not limited to: Illicit Water Discharge, Paving/Sealcoat notification. Communicate orally and in writing. Assists the County HR Laison with various duties as directed by management. Provides basic information and assistance to callers and visitors and refers more involved inquiries to the correct person for follow-up. Serves as the backup to the radio room operator. Greets visitors and ensures they sign in/out. Sorts mail for distribution to correct section, individual and/or locations. Operates office equipment such as fax/scanner machine, computer and mail related activities as directed by management. Operates computer/scanner for scanning of documentation into existing or new file and or folders. Promote teamwork to provide a superior work environment that produces quality customer service and/or products. Maintain professionalism in person and on the telephone with internal and external customers. Provide friendly, accurate, timely service to all customers. Serves as the back up the Clerical Assistant 1 in processing Customer Care Center (CCC) concerns. Assisting with bi-yearly county bid day actives. Recognizes that PennDOT honors sound environmental practices and works within PennDOT policies to support all Strategic Environmental Management Program (SEMP) practices. Shift work and overtime is necessary as directed by management. Additional duties and other work may be assigned as directed by management Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Safety: 1. Assess your environment and be responsible for your safety, the safety of co-workers, and the public. 2. Attend required safety training and adhere to the requirements of all safety manuals, policies, and laws. 3. Immediately report to your supervisor any incident, unsafe practice, or near miss. 4. When in an enclosed environment (office buildings, confined spaces, flagger stations, equipment pinch points, etc.), know your evacuation process and escape route, your communication protocols, and appropriately react in the event of an incident. 5. Evaluate contractor operations: • Immediately stop unsafe actions • Engage in ongoing safety dialogue with the contractor’s leadership Succession Planning: Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees. Department Green Plan Policy: As part of PennDOT’s MS4 obligations including NPDES Permit compliance and stockpile good housekeeping, all Construction Inspection Employee, Manager & Supervisor and Maintenance Employee, Manager & Supervisor PD’s must include the following statement: Commit to following the Departments Green Plan Policy (Pub 712) and the associated principals. Failure to comply with Department Green Plan Policy shall be documented in employee’s performance review. Fair Labor Standards Act (FLSA): Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0 hour day. |
