Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Disability Benefits Arbitration Docket: Disability Benefits Arbitration Docket Work – Solely responsible for maintaining the office’s disability benefits arbitration dockets including both H1 and non-H1 cases. The duties and responsibilities will include, but are not limited to, preparing arbitration schedules for each month which requires accessing relevant databases to identify information related to cases, coordinating with agency and claimant or union attorneys, human resources personnel, arbitrators, hearing examiners, court reporters and other parties with regard to scheduling cases for hearing, preparing and sending scheduling notices to parties, reserving hearing rooms, court reporters and video-conferencing equipment. With regard to non-H1 cases, maintaining the docket, filings and monitoring case status and assuring that hearing examiner proposed reports are processed properly, documenting the receipt of exceptions from the parties and assuring that agency decisions are rendered in a timely fashion. Assist Litigation Officer: Assist Litigation Officer with case management duties, including reviewing and analyzing cases as received and making decisions on assignments, entering cases in tracking systems, opening files, ensuring that all materials get to the assigned attorney, and drafting and sending any related correspondence. The employee will do any other assigned duties as needed by the Litigation Officer. Assist Office Manager: Assist Office Manager with completion of personnel management duties, including but not limited to obtaining necessary permissions for building access and use of computer networks. The employee may also be asked to assist with payments for license fees, bar dues and continuing education classes. The employee will also assist with financial and budgetary responsibilities, including but not limited to submitting payments for goods and services and entering data and monitoring the budget for the Office of Chief Counsel. Legal Administrative and Support Work: Independently responsible for knowledge of proper court and/or agency procedures to be followed in accordance with court and/or agency rules, such as the filing of court documents and routing of legal correspondence. Assistance provided by knowledge, accuracy and self-reliance as not to subject attorney staff or self to sanctions. Independently responsible for the scheduling and coordination of depositions by referencing the calendar and contacting the Court Reporter and opposing counsel and/or the institution. In addition, the employee is responsible for the timely faxing and/or mailing notice of such to the participants. Followed by ensuring payment and follow up information. Solely responsible for the tracking and accurate determination of due dates for assigned staff attorneys. Responds to routine correspondence and telephone calls to staff attorneys in reference to administrative departmental practice and procedure. Required to make inquiries for staff attorneys by contacting various courts, attorneys and/or businesses in reference to legal matters. Generates Due Date Reports containing accurate and reliable information for submission to the Chief Counsel, Deputy Chief Counsels and staff attorneys. Drafts legal documents such as motions, briefs, agreements and correspondence for staff attorney’s signature or self- signature. Independently, responsible for the proper filing and distribution of legal documents by the intended deadline. Independently initiates the proper maintenance and monitoring of the office’s singular means of tracking cases for the assigned attorneys. Responsible for the appropriate distribution of the tracking system’s information and reporting of legal status in various forums to interested parties. Required to prioritize work to meet all deadlines. Responsible for exercising independent judgment in the processing of document functions while performing complex administrative duties, such as forms created for better functioning of implemented procedures used by support staff and assigned attorneys. Independently responsible for the ordering and authorization of supply and maintenance services rendered. Designated responsibility for knowledge and preparation of the necessary documentation for the agency purchase request procurement procedures. Provides guidance and training to other employees. Independently evaluates the demand for publications to assist in the performance of duties by all staff. Makes travel arrangements including transportation and lodging for staff attorneys, other employees serving as witnesses and/or non-employees for the purpose of attendance and participation in legal proceedings. Performs the duties assigned to other support staff as needed. |
