Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides clerical support to the garage and front office. Inputs garage payrolls.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Inputs daily garage payrolls. Ensures payrolls are accurate and coded correctly using SAP.

Serves as the LSO County Coordinator. Schedules and inputs training into LSO. Advises office staff of scheduled training for all employees. Using MS Excel, Tracks and enters equipment certifications into LSO.

Serves as travel arranger for the garage and back up for the field operators. Arranges travel and lodging; provides written notification to employees of procedures required during training absences; and maintains copies of training files.

Prepares expense reports/vouchers for employee reimbursement for travel for the garage and back up for the field operators using Concur software. Responsible for reviewing all expense vouchers for proper coding, signatures, mileage, etc.

Prepares accident and injury packets, assisting employees and supervisors with completion of reports, inputting into ESS and ATS, and prepares required letters and other documents.

Completes Tort claims for Department vehicle accidents.

Builds Preventative maintenance schedules utilizing Microsoft Excel along with monitoring these reports and communicates progress to needed personnel

Processes the Lowboy and bridge hauling permits when necessary.

Enters fuel slips into SAP. Pulls reports daily and reviews for accuracy and corrects any discrepancies. Maintains and verifies fuel credit card inventory and replaces damaged or lost cards as needed.

Utilizes Microsoft office word and excel to build and maintain various reports such as fuel tracking, fuel receipt tracking, M-614 tracking, etc.

Verifies bi-weekly 614’s for deficiencies and maintains files.

Maintains equipment inventory list utilizing MS Excel to include equipment transfers.

Processes M-805 (state vehicles) for District Report by the first day of the month. Inputs county pool cars.

Prepares Preventive Maintenance (PM) inspection forms required bi-annually and provides to equipment manager.

Assists Purchasing Agent with Rental Equipment contracts for bidding.

Assists performing physical inventory counts for storeroom and field when needed.

Performs all assigned tasks within the deadline required based on publications and work standards.

Serves as backup Drug & Alcohol Coordinator.

Serves as back-up Timekeeper.

Serves as back-up for winter dispatch and the front desk when needed.

Performs other related duties as required.

Communicates with daily with County/District/Agency/Commonwealth employees utilizing MS Outlook and TEAMS.

Succession Planning:
Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

Department Green Plan Policy:
Commit to following the Departments Green Plan Policy (Pub 712) and the associated principals. Failure to comply with Department Green Plan Policy shall be documented in employee’s performance review.

Fair Labor Standards Act (FLSA):
Unless directed otherwise by your supervisor or manager, comply with stated hours for the 7.5/8.0-hour day.

Essential Functions
