Position Purpose:

Provides clerical and office support within the Cambria District Office to ensure its operations are conducted efficiently and effectively.

Serves as the receptionist for the Cambria District Office.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Answers, screens and routes telephone calls; obtains and maintains information for the Cambria District Office programs to ensure that calls are routed properly and questions can be answered appropriately.

Greets and directs visitors.

Processes incoming and outgoing mail effectively and efficiently; maintains and verifies postage usage; prepares the Pitney Bowes invoice and utilizes proper coding to request postage; obtains approval and mails the invoice to appropriate personnel; maintains proper documentation.

Types envelopes, labels, letters, and memos; ensures that correspondence is grammatically correct and documents are prepared in accordance with correspondence guidelines; proofreads to ensure accuracy.

Takes photos for new or replacement employee identification badges.

Operates copier and mail machines and contacts the service vendor when necessary; trains other employees in their use.

Coordinates building deficiencies (ice supply, etc.) and informs the appropriate vendor/building manager of facility operations issues.

Schedules conference rooms and coordinates the requestor's needs.

Develops and maintains and updates necessary call lists.

Develops and maintains key inventory lists.

Determines and maintains adequate postal supplies in the mail room.

Coordinates and handles the recycling of all print cartridges for the Cambria District Office.

Sorts and files documents timely and accurately and in accordance with policies, procedures and the records retention schedules.

Maintains and updates the desk manual on a regular basis; prepares written step-by-step instructions for assigned responsibilities.

Sells water sample bottle kits to citizens; provides a written receipt acknowledging payment of water bottle processing fees.

Inputs information into the appropriate database to generate BD project cost sheets, prints the reports, scans/files the reports and enters the total costs in the database tracking system.

Coordinates/signs out Commonwealth vehicles, as requested, for BAMR staff.

Performs back-up duties in the clerical unit as needed including, but not limited to, SAP entry.

Promotes the Department's mission.

Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.

Employee will be required to follow any other job-related instructions and to perform any other job-related duties as requested by their supervisor.
