Position Purpose:

Provide clerical and office support to ensure operations are conducted efficiently and effectively in the county organization.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Types various clerical documents such as letters, vouchers, memos, meeting minutes, and agendas; proofreads and uses own judgment to properly correct grammar and format to department rules and standards.

Answers the office telephone to include operating telephone directories, multiple line switching to receive multiple incoming calls, transferring callers to correct individual, and receiving transmittals and listening to public concerns. Act as receptionist/radio dispatcher during months when winter dispatchers are not available. Respond to and directing inquiries and issues to the appropriate individual.

Initiates and maintains records on operator certification.

Prepares paperwork for Risk and Insurance Management claims for outside customers.

Processes oversize, overweight permit paperwork and submits to district permit office.

Enters all Customer Care Center(CCC) reports in to CCC system. Enters Road Closure Reporting System(RCRS) Reports.

Acts as travel arranger making travel accommodations for all county employees. Completes Travel Expense forms upon the return of employees and submits to District for payment.

Performs garage support duties, including:
Assists Equipment Manager with maintenance of fuel system errors and system records.
Maintains records and files in the SAP system pertaining to work orders, equipment transfers, 838’s, preventative maintenance (PM) schedule, shop tool inventory, and equipment downtime.

Responsible for garage payroll data entry into SAP. Backup for E-payroll data entry.

Enter data from invoices for 813 garage purchases in Active Pay, making sure invoices are processed in a correct and timely manner.

Maintains files and records for the following: county equipment history files, PM records, parts and service manuals, ordering and reordering of license plates and owners’ cards, weight limit permits for bridges, county inventory, rented equipment, and miscellaneous records, reports, and forms.

Maintains files and records for the equipment accident reports.

Performs all required transactions for Automated Fuel System and maintains files for same. Issues fuel cards and keeps accurate inventory and paperwork of all fuel cards. Responsible for fuel card provider signature card. Reconcile monthly fuel report against receipts. Prints daily, weekly and other additional fuel reports.

Responsible for radio inventory and contacting radio service for repairs and transfers.

Researches liquid fuels tax and prepares tax reimbursement paperwork and submittal to Board of Finance and Review yearly.

Enters goods receipt as R3 and SRM receiver. Receives materials and fuel. Acts as Goods Issuer. Acts as SRM Requisitioner. Inputs inventory count. Reconciles inventory report from SAP and sends to District.

Works overtime and travels, as required. Provides back-up assistance for other clerical staff as needed. Performs related work, as required.

Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

SEMP – Recognizing that everyone is involved in the District’s and county’s actions to demonstrate sound environmental practices, each employee fulfills the Maintenance Unit Business Plan objectives related to the Strategic Environmental Management Program (SEMP). Also, supports the efforts of managers, supervisors, and other employees to meet these objectives. Attends environmental training designated for this working title.
