Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is within PUC’s Bureau of Administration, Office Services Division. The position will assist with event logistics/manual labor, storeroom duties, surplus/recycling, mail and duplicating services to help ensure operations are conducted efficiently and effectively throughout the Commission.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Event Logistics:
Assist with setting up/reset of furniture and equipment for PUC events. Occasionally relocating furniture and fixtures throughout the Commission, including putting items together.

Storeroom Assistant:
Pulls, logs and delivers requests for supplies and obtains signature receipt for items delivered. Maintains storeroom by keeping ample inventory, rotates and restocks supplies, keeps storeroom clean and organized. Restock returned items and surplus unusable items. Assist with monthly storeroom inventory.

Assist with Surplus and Recycling:
Understanding the procedures and policies to process request for surplus using DGS PASS system. Coordinates with PUC bureaus and DGS for pickups or disposals. Delivers recycling/shredding bins to bureaus upon request.


Mailroom Responsibilities:
Assisting with mail and messenger services includes receiving, sorting, processing and distribution of mail throughout the agency on a regular schedule utilizing the following mailroom equipment: scales, postage machine, folder/inserter machine.
Enter incoming mail into a database for certified, USPS Priority, UPS and other controlled signature mail to record proof of delivery.

Prepare and deliver outgoing mail and packages for pick-up by USPS, DGS and UPS. When necessary, delivery and pick-up of mail throughout the Commonwealth Complex, US Post Office, and Commonwealth Data Processing Center.

Assist in maintaining a database of e-certified signatures. Print daily manifest, download e-signatures from vendor site or USPS site into a database. Responsible for monthly closeouts of e-certified signatures.

Maintains a spreadsheet of all returned mail. Files daily reports and maintains records according to record retention schedule.

Duplicating/Print Shop:
Assist with duplicating and print shop requests as needed. Monitors resource email account to provide printing services as requested by each bureau. Completes bureau request by operating a wide variety of duplicating equipment including but not limited to copiers, binding machine, folder inserter machine, drill press, paper cutter, shredder, and laminator.

Conducts quarterly inspections of all machines to ensure they are meeting safety regulations. Responsible for making service calls on all equipment. Maintains and request/orders supplies for all the equipment in the work unit on an as needed basis.

Other duties:
Assist in transporting records to the Record Center and discarding of records according to retention label. Assist in purging office files in accordance with Records Retention standards.

Help to transport Executive staff state vehicles and pool vehicles for service or cleaning when needed.

Complete monthly reports, filing and other related duties as assigned.
