Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 30% Serves as an administrator and point of contact for Area III Troops/Stations for the M5 AssetWorks FleetFocus Inventory System, which manages and tracks the assignment, maintenance, repair, warranty coverage, and characteristics of the PSP automotive fleet (3,800 vehicles). Enters service and preventative maintenance records for all vehicles that fall within Area III Troops/Stations. Provides system access for authorized users and troubleshoots user issues. Modifies the system to meet agency business needs (e.g. repair reminders, service schedules, data maintenance). Creates custom reports as requested. 20% Receives and reviews vendor repair estimates for Area III Troops/Stations to ensure requested repairs are in compliance with Department and Commonwealth policies and procedures, and in conformance with accepted mechanical repair practices. Determines the necessity of repairs and services, the appropriateness of particular parts, acceptable costs of recommended repairs etc. Ensures vendors don't provide initial low estimates in order to receive the work and then return with a request for supplemental repair work. Monitors and verifies the validity of supplemental repairs. If concerns are found, works directly with Troop Automotive officers and/or vendors to resolve issues. Once verified as accurate, enters repair authorization into the system and submits to supervisor for final approval. Notifies Troop Automotive officer of the final decision on repairs. 10% Assists in the preparation of documents related to intake of new vehicles (approximately 550 annually) to the Department’s automotive fleet by: (A) Processes documents for titling vehicles, including verification of vehicle identification numbers (VIN) when applicable. (B) Reviews and prepares new vehicle invoices for submission to the Department of General Services and the Comptroller. (C) Working with the Department of General Services, PennDOT, and outside vendors to secure reconstruction titles for seized vehicles as needed. 10% Processes vehicles for disposition and auction pick up. Verifies the coding and terminates fuel cards and sends information to the Department of General Services for further processing. 10% Responsible for updating EZ Pass license plate list on PA Turnpike website. Monitors the Transportation Resource Account for Turnpike and other toll violations and forwards them to the appropriate Station for appeal or payment processing. 10% Assists Automotive Fleet Supervisor with assigning replacement of high mileage and out-of-service vehicles. 5% Assists in answering telephone calls and directs calls to appropriate staff members. 5% Performs other tasks as assigned by supervisory personnel. |
