Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position provides assistance to taxpayers or their representatives for all taxes
worked by the Bureau of Enforcement and Taxpayer Assistance (BETA) and provides
clerical support to the District Office as needed.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Researches/reviews taxpayer accounts/records in the Department’s systems by utilizing
computer programs such as PATH, BRIDGES and web enabled taxpayer inquiry system
to provide appropriate information when answering the taxpayer’s inquiry.

Assist and advise the taxpayer and/or their representative in the proper manner of
completing tax returns, reports, and other forms as they pertain to the above taxes and
programs.

Verifies tax liability, penalty and interest, and explains to the taxpayer and/or their
representative how these amounts were determined along with the applicable tax laws,
rules, regulations and policies involved.

Receives either incoming calls or written correspondence from taxpayers or their
representative and responds either verbally or in writing regarding the application of tax
laws, rules, regulations, policies or procedures.

Requests and gathers necessary documentation from taxpayers or representative and
prepares proper departmental forms in order to correctly adjust a taxpayer’s account.

Processes applications and issues decals for IFTA and MCRT.

Trains tax season personnel in the areas of personal income tax, and property tax/rent
rebate program. Assists them by providing technical assistance in resolving more detailed
tax problems or issues. Plans and schedules training sessions for volunteer tax season
groups. Travels to and from satellite offices and private sector groups.

Delivers presentations upon request from the private sector on the application and
interpretations of state tax laws, rules, regulations and policies.

Prepares reports concerning the effectiveness of taxpayer services and makes
recommendations on how to improve upon it in the future.

Completes the following clerical functions

Processes incoming/outgoing mail, calculate postage, office reports, files, logs, inventories,

Ordering postage/office supplies.

Prepares, types and mails letters for field personnel

Typing letters, reports, requests, vouchers and proofread material

Apply Lean thinking in day-to-day tasks.

Demonstrate a commitment to meeting expectations of the bureau/program’s customer(s) at all times.

Is mindful of internal controls and risk management when changes are made to a process.

Performs other related work as required.

Decision Making:
Describe the types of decisions made by the incumbent of this position and the types of decisions referred to others. Prepare appropriate tax forms for taxpayer and refers adjustments and corrections to the
appropriate bureau.

Refers complex delinquent account inquiries to Taxpayer Service Administrator.

Determines if taxpayer is currently in compliance with tax laws, rules and regulations.

Plans and schedules training sessions for volunteer tax groups.

Prioritize work to meet all deadlines within timelines established.
