Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 35% - Performs clerical work, including processing various enforcement reports submitted electronically via the Incident Tracking System (ITS) by Liquor Enforcement Officers, Enforcement Officer 3 and District Office Commander or handwritten draft documents utilizing a personal computer. Reports include: Administrative Investigative Reports, Criminal Incidents Reports, Letters of Violation and Warning, Letters of Compliance and Non-compliance, assist with monthly statistical reports, miscellaneous correspondence, etc. Types weekly vouchers for Confidential Expenditures. Take notes and types weekly Meeting Minutes. Must show an ability to use grammar and punctuation correctly. Typing must be completed in a timely manner to meet deadlines. 20% - Creates CAD numbers in RMS and enters into ITS. Retrieves information from the PLCB+ Posse. Enters Hearing notices in ITS, Certified on CLEAN/NCIC to send and retrieve messages as required. In absence of primary, responsible for entering monthly vehicle mileage and vehicle invoices into M5 system. 15% - Advancement Account Custodian. Maintains necessary files, ledgers and account balances and purges every fiscal year. Completes the Monthly Financial Statement. Maintains the Purchasing Card (Master Card) Account including reconciliation of monthly statements, and responsible for completing Agency Requisitions when necessary. 10% - Answers incoming telephone calls, provides general information to callers, taking messages, and greeting the public at the front window. Takes complaint information from callers in the absence of a Liquor Enforcement Officer, Enforcement Officer 3 or District Office Commander. Retrieves messages from the answering machine daily. Assists in the absence of primary for removal and distribution of correspondence received via FAX machine daily. Assists in processing incoming and outgoing mail. Responsible for retrieving U.S. mail from the District Office mailbox. 5% - Responsible for A-L filing section for Licensees. Creates, maintains and purges files, retrieves files upon request, and files attachments for enforcement investigations and correspondence received from all sources as necessary. Access PLCB+ to print missing documentation when creating new file folders for Transfers and/or New Licensees and document changes on Trade Name files. 5% - Acts as the District Office Physical Inventory Control Clerk, to include maintaining all inventory control records for Physical Inventory Property and entering Property for surplus into the online DGS Surplus System as required. Orders Office supplies through approved vendor. 5% - Assists in timekeeping duties in the absence of timekeeper for District Office to include coding of overtime information on CAT forms in SAP, the error reports in SAP, and assists in entering leave via ESS for Employees when their Supervisor is not present at the approval of District Office Commander. Assists in shift planning changes. Responsible as their assigned squads’ Travel Arranger. Alternate Uniform Crime Reporting (UCR) Coordinator, recording criminal arrests and their dispositions from Incident Reports/Non-Traffic Citations and entering the UCR information online monthly. 5% - Performs other related duties and any other tasks assigned by the Clerical Supervisor, District Office Commander, or other higher authority as required. |
