Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Performs secretarial duties for the Workers’ Compensation Judges (Judge) and provides office support within the Workers’ Compensation Office of Adjudication (WCOA) District Office.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Schedule’s hearing events in accordance with the Workers' Compensation Act. Instructing parties to address the issues at the hearing with the Judge, reviewing information submitted through Workers' Compensation Automation and Integration System (WCAIS) for the claim; directing internal/external stakeholders to the resource center for technical assistance, etc.

Prepares court room both in person and virtual for the Judge prior to each hearing day by gathering and preparing related documents and case files, and then placing them in the court room, if applicable. Prepares related documents, case files, and other items deemed necessary by the Judge. Arranges for vendor services according to WCOA Policy for interpreters, security guards, and court reporters. Files incoming mail/email, hearing transcripts, open and closed case files in accordance with WCOA Policies and Procedures.

Reviews documentation or exhibits submitted and alert the judge to any errors or inconsistencies. Review WCAIS reports to verify information. Reviews and performs case follow-up documentation. Scans and indexes appropriate documents, transcripts, correspondence, and exhibits received during events into WCAIS. Finalizes event information in WCAIS accordingly, and/or contacts Judge for further determination or clarification. Add decisions to WCAIS. Verifies WCAIS for accuracy of information before circulating the decision.

Processes subpoena requests according to Judge’s specifications and WCOA procedures. Processes and mails physical evidence to the Appeal Board.

Follows policies, procedures, and utilizes technology equipment for WCOA including but not limited to WCAIS, DataCap Thin Client/Thick Client, all Microsoft applications, ESS, the Workers’ Compensation Act, the Judges’ Rules and procedures, and various statewide contracts as they apply to this position. Completes all work assignments in accordance with Workers’ Compensation Act mandates and established WCOA guidelines.

Replies to general questions from the public, attorneys, media, law enforcement and legislators in accordance with WCOA Policies and Procedures. Follows up on inquiries and taking appropriate action. Replies to requests for information where possible.

Generates general correspondence, memorandum, invitations, and/or reports from handwritten or dictated sources in established format. Keying from handwritten, typewritten or dictated sources in established format. Proofreads grammar, punctuation, and spelling.

Answers telephone and e-mail inquiries. Receives and distributes incoming email and prepares outgoing e-mail through the office’s resource account in accordance with WCOA Policies and Procedures. Responds to telephone inquiries regarding case status from parties of record in accordance with established WCOA Policies and Procedures.

Reviews and verifies WCAIS generated reports. Maintains a diary system on all assigned cases within WCAIS. Purges closed case files in accordance with WCOA retention procedures.

Scans and indexes various office documents and correspondence as required.

Notifies Clerical Supervisor or appropriate personnel of interpreter, security and facility needs and/or other special accommodations.

Attends and participates in on-line and face-to-face training as required.

Performs other related duties as required.

Makes independent decisions concerning the scheduling, cancellation and postponement of hearings, mediations, and a variety of other case management issues, based on policies and procedures set by the Judge, the Workers’ Compensation Act, and the Office of Adjudication.
