Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Provides support to operationally fulfill the SERS Board’s directives and initiatives in managing the Defined Benefit Plan investment portfolio, which includes but is not limited to processing and accounting for all routine investment transactions such as capital calls, distributions, purchases, sales, interest, dividends, etc. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. Receives Capital Call notices from the Private Equity Consultant and reviews supporting documentation. Enters the capital call into the Instruction Capture software for payment processing. This review includes confirmation of wire instructions, and in the case of an initial funding: SERS board approval, proper contract documentation, and direct wire instruction confirmation from the manager. Prepares the daily “VT/TR” by analyzing the investment transactions (purchases, sales, interest, dividend, etc.) on the custodial accounting reports, assigning general ledger codes, and posting to the accounting system. Special income and other nonroutine items require additional analysis, in order to properly record those transactions. Maintains Daily Cash Flow Tracker. In maintaining this tracker, the Accountant I is responsible for recording the information related to all capital calls, distributions, public market manager fee payments, and direction letter transactions to ensure payments get through the process in a complete, accurate, and timely manner. The tracker is shared with SERS Investment Office for review. Reviews the recalculation of various investment-related invoices. Reviews the recalculation of all public market management fee invoices before higher level approval for payment. Maintains the public market manager fee tracker so to ensure appropriate accruals/reversals take place in a timely manner. Tracks and monitors pending cash and stock distributions until funds and/or stock is received at the custodian. Prepares various monthly journal entries and general ledger reconciliations. Prepares Class Action Receipts board report on a quarterly basis, which is submitted to the Securities and Litigation Committee for presentation during committee meetings. Maintains the “Mellon Master” workbook which contains vital information on all current, new, and historical accounts, including 1099-NEC filing status, key dates regarding the life of the account, etc. Assists with collection of private market investment manager statement or ILPA templates during periods of high volume (quarter-end, year-end). Ensures all assigned duties are documented in process documents and reviewed as assigned to keep current. Maintains a basic knowledge of various investment, accounting and general-purpose software programs including Nexen, E-business, Microsoft’s suite of products including Excel, Word, and Outlook. Performs other related duties as assigned. |
