Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Provides clerical support for the environmental protection programs headquartered in the California District Office which include District Mining Operations, Mine Subsidence Insurance, Clean Water, Safe Drinking Water, Waste Management, and Oil and Gas Management. Performance of the job duties requires a thorough knowledge of the policies and procedures of the Agency.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Types correspondence, reports, and statistical material. Proofreads typed material for typographical and grammatical errors, completeness and accuracy and ensuring adherence to agency rules and regulations.

Receives Mine Operator Fax Reports for water loss notifications, structure damage, and land damage. Ensures operator is following the Act 54 regulations as to time requirements and submitting correctly completed forms. Logs all Mine Operator Fax Reports into the Bituminous Underground Mine Information System (BUMIS).

Assigns water loss cases to hydrogeologists on a rotating basis and sends prompt plan letter out on water loss incidents. Updates pertinent water loss information in BUMIS. Logs and tracks water loss and prompt plan assignments in respective Excel spreadsheets.

Types and enters land and structure damage claims into BUMIS; mails and tracks subsidence damage claim forms in Excel spreadsheets. Updates information regarding structure and land damage into BUMIS.

Types field notes and quarterly unresolved updates prepared by the Surface Subsidence Agents and enters notes and information into BUMIS system.

Types and processes stream letter's and enters and updates information into spreadsheet.


Serves as back-up to the receptionist and assumes all responsibilities as needed.

Screens, and directs all incoming calls. Takes messages or forwards to staff's voicemail.

Greets and directs all office visitors.

Schedules appointments for public review of maps.

Schedules use of conference rooms

Processes incoming and outgoing mail which includes; batching, stamping, wrapping bulky items, certified mail. Maintains a daily log of postage usage, and notifies supervisor when postage reaches $3,000 and when mailing supplies need ordered.

Contacts courier for pick-up of samples and prepares coolers for water sample shipments. Maintains adequate supply of ice for coolers.

Prepares invoices for copies and maps purchased by general public. Issues receipts for payment of invoices.

Sells water test kits to public and issue receipt for payment.

Inputs six-month notification letters in the BUMIS system.

OTHER DUTIES:

Prepares files for archiving which consists of purging files, removing staples, paper clips and binder, scanning and saving to OnBase system. Review completed digital files are correct and complete in OnBase.

Maintains a desk manual and keeps it up-to-date.

Enters all CAT Data

Operates Ricoh copiers with fax.

Promotes the Department's mission.

Inputs appropriate data in a prescribed format to meet data quality standards set forth by guidance, training, and policy across all of DEP’s electronic data systems; to include ensuring accuracy and completeness of entries, and where available, the use of system specific tools to ensure duplicative entries and data quality issues are minimized.
