Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

The position performs administrative duties and supervises staff responsible for business licensing application processing within the Bureau of Professional and Occupational Affairs’ Business Licensing Division’s Business Licensing Section.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Supervises Licensing Certification Evaluators (LCE) who evaluate applicants applying for licensure including evaluating credentials of internationally educated applicants; and supervises Clerical Assistant 3s (CA3) who review applications for initial licensure/certification or renewal/reactivation of a lapsed of inactive license.

Coordinates the activities within the phone system, suggests modifications to the menu prompts, and scripting.

Prepares written reports as needed.

Keeps apprised of ongoing changes in statutes, regulations, and policy and initiates changes to the website and other communications.

Organizes, assigns, and evaluates complicated work performed by clerical staff engaged in processing applications in accordance with laws and regulations.

Conducts a detailed analysis and evaluation of complex credentials of applicants.

Coordinates application reviews by the Board and Board Counsel when eligibility determinations could not be made by staff, researching information, preparing reports, and responding to Board inquiries.

Performs Board Administrator duties, when necessary, including conducting Board Meetings and being the primary resource for the Board-related information.

Conducts meetings with staff to review workflow and productivity. Develops and analyzes complex spreadsheets and reports related to workflow and processing times.

Reviews, analyzes, and drafts office policies and operating procedures.

Collaborates with the supervisor regarding staffing needs and in reviewing, implementing, and evaluating new policies and procedures.

Serves as a liaison with Human Resources, employee relations, and the Union regarding staff related matters. Duties include but are not limited to addressing staff complaints, special accommodations, and disciplinary actions.

Serves as a resource for Board related information, laws, regulations, and policies.
Researches and responds orally or in writing to inquiries from the public, applicants, licensees, other Boards, and other support staff as well as priority matters from the legislative office.

Resolves serious and derogatory complaints against the Board in collaborations with the supervisor, Board Executive Secretary, Board Counsel, and the Commissioner's Office.

Develops and revises applications forms, drafts specific user stories, and provides feedback and documentation for agency systems to enhance current functionalities and develop new functionalities.

Assists with daily operation of the office in the absence of the supervisor.

Participates in meetings with the supervisor, Commissioner’s Office, Governor’s Office, and Stakeholders.

Performs other related duties as required.
