Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Responsible for performing various storeroom activities in support of the Lancaster County Maintenance Organization to ensure that operations are efficient and effective.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Assists garage personnel with controlled accesses to repair parts and specialized tools; in accordance with the established quantity levels, keeps on hand inventory of commonly used filters, belts, equipment components, fittings, hoses, hardware, fluids, tires, and similar maintenance items; stores, issues, and controls use of specialized equipment for general use by garage staff in performance of assigned duties.

Knows necessary consumables, stocks products in properly controlled storage areas, verifies inventory counts are correct, maintains that inventories are accurate and match current invoices.

Analyzes invoices in SAP to ensure those receipts are in proper order for payments. Assists and supports Purchasing agent in providing materials to field and garage. Analyzes usage, recommends and adjusts reorder points and or additional purchases of items to Equipment manager, prepares requisition forms for parts room commodities and monitors status.

Receives, inspects, and accepts or rejects stock room items, recommending correction to invoices to vendors, maintain consumables products in proper order. Controls issuance of materials and supplies.

Assists in the management of the material components of the SAP Plant Maintenance and Supplier relationship Management (SRM) Systems for the county organization. Aids in directing the purchase, receipt, and storage. Monitors issues of bulk materials and garage storeroom items to ensure the availability of resources, as well as the efficient and effective use of resources. Utilizes SAP to receive and issue items as well as transfer materials between storage locations and plants.

Maintains employee PPE. Keeps inventory of PPE. Maintains transactions on all PPE in SAP. Responsible for employee record keeping of SAP supplied out to field. Handles mass transactions in the SAP system when distributing clothing allowances to crews. This involves over 200 transactions in SAP to be accurate. Also performs manual paperwork for each employee receiving the clothing allowance.

Monitors rented equipment by performing usage GRs, tracking usage and presents information to RPC.

Assists in the management of the materials components of the SAP Plant Maintenance and Supplier relationship Management (SRM) Systems for the county organization. Performs all transactions in SAP of goods receipts, transfers, and inventory control.
Responsible for storeroom functions which include, preparing purchasing request for storeroom supplies, receiving, storing, and distributing parts and supplies, and performing storeroom inventory functions. Ensures stock area is well maintained and precautions are taken against theft and damage. Ensures the tin shed is well maintained and inventories the tin shed.

Assists Purchasing agent in obtaining availability and price of supplies. Performs purchase requisitions and shopping carts for Purchasing Agent and RPT2, enabling purchase order to be made. Receives against purchase orders maintaining proper balance of purchase orders.

Prepares items for surplus or transfer as appropriate and makes recommendations related to damaged, unusable, or unnecessary items.

Serves as County Hazardous Material Coordinator. Keeps track of all MSDS forms making sure materials are labeled properly and appropriately. Trains in MSDS data base ensuring all products are in locations. Manges current SDS Pro system to ensure that all hazardous materials are at storage locations. Responsible for Hazardous Substance Survey forms are accurate for stockpile posting.

Performs, in US Bank access online, p-card coding for Mechanical supervisors, ensuring that p-card reconciliation is timely for monthly reviewer to process monthly review of p-card statements. Matches P-card spending with proper documentation to ensure that fund and account coding is correct as often as necessary with over 200 entries per month.

Recognizing that everyone is involved in the District’s and County’s actions to demonstrate sound environmental practices, each employee fulfills the maintenance unit business plan objectives related to the Strategic Environmental Management Program (SEMP). Attends environmental trainings in the Districts SEMP for Sound Environmental Practices.
Maintains clean, well-organized work area conducive to safety and efficient work operations.

Schedules non-emergency absences in advance; observes start up and stop times, breaks, and mealtimes; works efficiently and effectively along and with others; is available for overtime emergency responses; and minimized nonproductive and down time for self and crew.


Succession Planning:
Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

Department Green Plan Policy:
Commit to following the Department’s Green Plan Policy (Pub 712) and the associated principles. Failure to comply with the Department’s Green Plan Policy shall be documented in the employee’s performance review.

Unless directed otherwise by your supervisor or manager, comply with stated work hours for the 7.5/8.0-hour day

Determines inventory needs based on stockpile reviews and monitors the work of contractors in accordance with department policies. More complex issues are referred to the Roadway Programs Coordinator who also reviews work for accuracy, completeness, and conformance to policies and procedures.
