Position Purpose: Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. An employee in this job performs moderately complex clerical work within standard operating procedures, or functions as a lead worker over routine clerical work. Work involves office or program support functions in reviewing and processing data, information, forms, and other documents; and includes the keyboarding of data and information into computer systems. Work may involve creating and formatting documents, organizing and verifying information, performing mathematical calculations, maintaining files and records, or assisting the public in completing governmental forms or obtaining general information about programs and services. Work may include providing general clerical support to other staff or for overall operations at the visitor’s center, launch window, and campground contact station. Employees in this job do not require close supervision of assigned day-to-day clerical activities; however, detailed supervisory guidance and review is received for new or unusual situations and changes in office operating procedures and policies. |

Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. While manning one of the parks public contact stations or Ohiopyle Visitor Center, serves as a receptionist by greeting, screening, and directing visitors; answering and transferring telephone calls; recording messages; and providing routine information about the park and local attractions. Processes fees, issues permits, checks in and registers campers, and maintains brochure rack. Performs various other office related duties and incidental custodial tasks at Visitor Center and/or contact stations. Utilizes a variety of software applications on park computers, including, but not limited to, Outlook, Word, Excel, Access, Internet Explorer, Park Reservation System and point of sale software. Daily reconciles cash drawer in accordance with Bureau cash management policy. Copies, scans, sorts, files and retrieves documents or materials. Coordinates the tracking and dissemination of events and activities occurring within Ohiopyle State Park by maintaining and updating the park Outlook calendar on a regular basis. Operates a multi-line telephone system, base radio console, desktop computer, calculator, and other simple office machines, as well as a number of simple custodial maintenance equipment items. May help facilitate serving as an emergency contact by operating a base radio station and an intercom system to provide information to personnel in the field. Relay messages and receive emergency calls and dispatches to correct personnel within the park or 911. This position performs duties that are executed seven days a week and will be routinely scheduled to work weekends, evenings and holidays as needed for park operations and to meet seasonal needs. Duties specific to assigned work locations: Park office and visitor’s center: Provide general customer service at the front desk and lobby by interacting with visitors. Answer the phone and emails, prepare reports, process fees, process campground reservations, provide directions and recommendations. Maintain and inventory brochure racks, information displays, and organize/clean workplace. Provide administrative support to other office staff. Lower Youghiogheny White Water Boating Operations: Sell and process launch and shuttle fees. Record, organize, file boater data. Facilitate safe and orderly movement of visitors preparing to launch including directing pedestrian traffic to staging areas, explaining the natural hazards, providing boating education, ensuring visitors have proper equipment, launch permits and shuttle bracelets. Informs visitors of the rules and regulations of the park. Campground Contact Station: Provide general customer service to campground visitors. Utilize the Aspira reservation system to make, modify, and verify reservations. Process fees, run reports, prepare keys and tags. Coordinate work with campground host, handle concerns and complaints, inform visitors of rules and regulations. Communicate hazards, violations, and maintenance items to appropriate personnel. Performs other duties as assigned. DISTINGUISHING CHARACTERISTICS: Work is differentiated from the lower-level job based on the requirement to perform moderately complex clerical activities with considerable independence within standard operating procedures. This involves multiple and varied steps, processes, or methods where the actions taken may differ in nature and sequence, but follow established procedures, guidelines, precedent, learned processes, or program knowledge. Work may include lead work responsibilities over routine clerical work. Lead work is a permanent organizational relationship that includes assigning and interpreting work, conducting on-the-job training, providing guidance, and reviewing the unit’s work for adherence to processing standards. Creates and maintains tracking, production, and inventory records; spreadsheets; and tables. Processes requests for licenses, registrations, permits, and agreements by evaluating submitted information, reviewing files and records, requesting missing information, and determining if requests meet prescribed standards. Makes travel arrangements and prepares travel expense reports for staff. Prepares and formats correspondence, reports, forms, and other documents in draft and final form. Prepares, organized, and enters vehicle record information. |
