Provides clerical support to the Station Commander and other station personnel by ensuring the Station’s clerical/administrative operations are conducted efficiently and effectively. |
Description of Duties: Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor. 20% Prepares and types various correspondence and reports. Transcribes taped interviews, taped communications conversations, and other audio recordings as requested by Station personnel. Proofreads various documents to ensure they are completed in a grammatically correct manner and are consistent with Department regulations. Attends meetings, prepares meeting notes, and distributes the notes to Station personnel. 20% Reviews reports for adherence to processing standards and forwards to troop headquarters. Obtains data from various reports and enters it into the Initial Crime Index computer system. Compares Record Management System (RMS) report data to Master Name Index (Index) data, determines if a match is present, and when necessary inputs data into the Index. 20% Maintains, updates, and purges various files using numerical, alphabetical, or subject methods. Maintains Station reference libraries by filing new and purging obsolete directives. Copies, distributes, and posts documents per Department regulations and Troop/Station requests. 10% Inputs approved work schedules into SAP Shift Planner. Ensures all call-offs and schedule changes are updated in SAP Shift Planner. Schedules and apprises members of court hearings. Creates daily/weekly duty rosters. 10% Orders expendable supplies from Troop Headquarters. Uses the Station’s Purchasing Card (P-Card) to pay for supplies and services not provided by Troop Headquarters. Processes P-Card payments, maintains the P-Card account files, and performs monthly reconciliation. Routes to Troop Headquarters all invoices that cannot be paid with the P-Card. 5% Receives and responds to requests for reports/information from Department and non-department sources. Gathers necessary information and provides it to the requestors. 5% Processes incoming and outgoing mail. Operates various office equipment such as a personal computer, copying machine, facsimile machine, and postage meter. Assists station personnel in using the office equipment. 5% Assists station personnel and responds to their inquiries concerning ESS and SAP actions. Enters and submits online position descriptions for Station personnel. Processes travel arrangements and travel expense reimbursement requests. 5% Performs other related duties as required. |
