Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

The employee is responsible for interaction with computer systems for input of data into the online programs of the Department of Human Services. Work includes providing clerical support to assigned Income Maintenance Caseworkers and interacting with the public in person or by phone. Work is subject to periodic changes in operating procedures and requires adaptability. Work is performed under general supervision. The employee carries out the following job tasks in the Juniata County Assistance Office, under the supervision of the Administrative Assistant.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Performs work which involves the processing of a variety of documents, which include the verification of information, coding, and assisting the public in completing governmental forms.

Work is subject to periodic changes in operating procedures and requires some adaptability to shifts in work schedule.

Employee works with considerable independence within standard operating procedure; however, detailed supervisory guidance and review is received for new or unusual situations and changes in operating procedures and policies.

Determine supply needs for the mailroom and prepare the supply requisitions.

Insures incoming and outgoing mail is processed in the most efficient and expeditious manner.

Initiates tracers through the U.S. Postal Service on lost mail or parcel post.

Requires knowledge of the required care and maintenance of a typewriter, copier, printer and fax.

Requires knowledge of the files, logs, forms, letters, etc. that are used in the office.

Ability to understand and follow oral and written instructions, which explain multifaceted procedures.

Ability to organize work and develop effective work methods in an area, which involves variable phases of different techniques and procedures.

Ability to operate office and mail processing machines such as a calculator, photocopier, postage meter, computer, fax, shredder, etc.

Direct calls and in person inquiries to appropriate persons within the office or community resources.

Answer general questions and explain the procedure of applying for various assistance programs. Hand out or mail applications and instructions packets. Direct inquiries or completed applications, as needed, to the screener.

Record name of visitors on the reception log.

Data enter applications into Application Processing and Case Initiation. Data enter authorizations and changes to CIS and Mapper programs. Pull off COMPASS applications, print them if needed and do Application Processing and Case Initiation on them.

Prepare controlled documents-checks, interim access card, EBT cards, etc.

Input into CIS all information requested by the Income Maintenance Unit through various means of communication.

Use of a MAPPER system for certain reports.

Assemble packets together for monthly distribution and keeping packets available upon request at the front desk.

Keep interview booths stocked with forms and supplies.

Stocking of pamphlets, posters, brochures, etc. in the waiting area and keeping staff bulletin board current.

Assigning of records to caseloads within the Income Maintenance Unit.

Purging of records when a list is provided yearly and the disposal of these records by means of a shredder.

Data entry of Low Income Home Energy Assistance Program information into the computer. Distribute applications when requested and forward question on to appropriate staff during the LIHEAP season.

Scheduling of appointments for applications on the upfront appointment sheet.

Data enter Automated Referral Restitution Computations into the ARRC system.

Inquire into the Child Care Management System, data enter and have a working knowledge of the system.

Perform other duties as assigned.

Essential Functions:
Frequently moves throughout an office to perform daily job functions.
Frequently files and transports files, work documents, etc., throughout the work site.
Constantly operates various types of office equipment such as but not limited to, personal computers, copy machines, fax machines, data entry devices, scanners, carts, telephones, calculators, etc.
Constantly interacts with employees, customers and management while frequently simultaneously utilizing various computer applications.
Constantly uses computer applications to generate written communication by utilizing forms, memos, emails, narratives, etc.
Constantly communicates verbally with staff, clients, and public.
Constantly gathers, assembles and evaluates information provided via telephone, mail and/or face-to-face.
Constantly interprets written and verbal instruction to complete job tasks.
Constantly interprets and applies OIM and clerical support policies, procedures and regulations.
Frequently learn job related materials through various media and teaching methods.
Constantly interact objectively and with sensitivity to employees, applicants, customers, management in stressful or difficult situations.
Maintains and posts control logs, records, schedules, etc.
Frequently-constantly, sitting on an adjustable chair for extended periods of time; may stand as desired.
