Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position assists with performing a variety of human resource support duties in the Region 11 Human Resource Office. This position ensures operations and various actions are completed effectively and efficiently for employees within SCI Waymart and SCI Dallas. This position is physically located at SCI Dallas.



Description of Duties:

EMPLOYEE PERFORMANCE REVIEWS:
Monitors and tracks progress review, probationary, interim, and annual employee performance reviews of all employees to ensure timely completion and accuracy. Monitors performance reviews for discrepancies between job factors and overall ratings and notifies the Field Human Resource Officer. Provides guidance and resources available to supervisors regarding employee performance improvement plans.

Maintains Official Personnel files (OPFs) to include uploading all required employee information into the e-OPF via the HR Doc program, certifying and purging documents in the e-OPF in accordance with records retention policies. Tracks and maintains Employee Performance Review (EPR) records and assists with position descriptions. Runs monthly EPR reports for distribution.

LABOR MANAGEMENT:
Takes monthly minutes for labor management meetings – PSCOA, AFSCME, CIVEA, FOSCEP, OPEIU, PSSU and SEIU. Records, types, and disburses official meeting minutes to appropriate individuals. Assists in putting grievance and EJAC packets together. Records, transcribes, and distributes Pre-Disciplinary Conference (PDC) meeting minutes. Coordinates scheduling of conference room for HR meetings.

Scans all COT interview documents to Central Office.

Assists ERM with ACA program audit for HR standards which includes in excess of 60 standards for the HR Office to include reviewing and researching the standards, determining where data can be obtained and gathering applicable documentation to support the standards, identifying appropriate data through knowledge of all aspects of the HR office and research of the standards, recommending improvements in the HR office in order to obtain a higher level of compliance, communicating with a variety of staff within the facilities to obtain supporting documentation, and resolving issues when standards are found to be deficient which involves additional research. This work is performed throughout the year in order to ensure annual compliance.

Maintains HR Resource Accounts to monitor for notifications from SERS for all retiring employees. Provides timely notification to Time Advisors so separating employees are paid properly in accordance with all Management Directives and Bargaining Unit Contracts.

Submits ERC tickets for supervisor changes and updating roles.

Serves as the Get Healthy Benefits Coordinator for both SCI Dallas and SCI Waymart. Provides employees with related wellness screening information. Coordinates and facilitates the health and wellness onsite events. Provides direction to employees on how to print off the Physician’s Result form to take their doctor.

Completes HR Orientation.

Provides customer service to employees of SCI Dallas, SCI Waymart and the general public.

Verifies PEBTF forms before submission.

Assists with gathering and routing appropriate documentation for Workers Compensation (WC), Act 632, and Heart & Lung Act related injuries to Central Office.

Performs other related duties such as responding to phone calls, visitors, and employee inquiries. Maintains lists of staff on SPF and military leave and provides updates to the Superintendents on a regular basis. Types memos, reports, and letters as directed by the FHRO and other HR staff. Processes incoming and outgoing mail. Inventories and requisitions office supplies. Performs other duties as assigned.
