Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

This position is responsible for the administration of the State Board of Vehicle Manufacturers, Dealers and Salespersons in the Real Estate and Vehicle Licensing Division of the Bureau of Professional and Occupational Affairs. The board administrator serves as the liaison between board members, board counsels, prosecuting attorneys, licensees, the public, bureau staff and other governmental agencies, including other states. In depth working knowledge of assigned board’s laws, regulations and policies is required.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

1.Serves as primary resource for board-related information regarding board laws, regulations and policies for the general public and other staff.

2.Participates in the development of the regulations through recommendations to the board and board counsel; develops and recommends policies and procedures to the boards to assist in the effective administration of the laws and regulations.

3.Establishes licensure eligibility review criteria based on the laws and regulations for processing by technical support staff. Reviews complex and/or exceptional applications; refers to board counsel if necessary.

4.Coordinates board meetings, prepares agendas, attends and participates in the conduct of meetings; reviews and edits all official minutes and completes and/or delegates post meeting follow-up activities.

5.Attends and testifies at formal hearings on board-related matters as the official custodian of the records; provides licensure record information to legal staff.

6.Analyzes administrative operations through meetings with the Division Chief and appropriate technical staff, making written and verbal recommendations for improvements to existing procedures. Assigns work to technical support staff working in vehicle dealer area.

7.Establishes procedures for the performance of all activities required in the administration of the board, including the development of routine correspondence, application forms, maintenance of records, and technical direction to support staff.

8.Provides training in administrative operations and procedures to technical support staff.

9.Coordinates and assists in the board’s newsletter development, preparation and editing.

10.Provides statistical information and technical data to the Budget and Financial Management Office for the development of fees for the licensing board.

11.Schedules interviews, conferences and informal hearings between board members, licensees, applicants and/or bureau staff.

12.Prepares non-routine/complex correspondence on board-related issues.

13.Coordinates and reviews board member reimbursement documentation, including advance travel approvals, travel expense vouchers, per diem requests and other related forms.

14.Prepares written reports as necessary or required.

15.Performs other related duties as assigned by the supervisor.
