Position Purpose:
Describe the primary purpose of this position and how it contributes to the organization’s objectives. Example: Provides clerical and office support within the Division to ensure its operations are conducted efficiently and effectively. 

Performs Clerical activities to assist the \ County Maintenance Office (MO) management staff in ensuring that all aspects, policies & procedures, goals & objectives are met.

Description of Duties:
Describe in detail the duties and responsibilities assigned to this position. Descriptions should include the major end result of the task. Example: Types correspondence, reports, and other various documents from handwritten drafts for review and signature of the supervisor.

Answers telephone calls, records information received by phone to route to the appropriate individual, greets visitors, and responds to general information requests for the Northampton County Maintenance Office.

Updates winter books, Stockpile Call-Out lists; Customer Care Center Complaints status; ensures information in Travel Advisory Database and Roadway Closure Reporting System (RCRS) is current; notifies deer carcass removal contractor; and records Customer Accident Incident Claim information on form STD -430.

Updates State Route (SR) files, and District Maintenance Correspondence (DMC) files.

Compiles, maintains, and distributes lists such as phone numbers; Manager-In-Charge schedules; stockpile lists; bid lists; etc.

Maintains logs of returned license plates and Special Hauling Permit requests.

Records, proofreads, and distributes meeting minutes such as staff, Highway Foreman, Labor Management, and Safety meetings.

Posts employee and customer information on bulletin boards; in the foyer and library; and any other areas information should be accessible.

Files records such as invoices, correspondence, etc. in accordance with established systems and procedures.

Receipt and distribution of daily mail between counties, districts and central office.

Assists in maintaining Personal History Files when needed.

Prepares correspondence for County Manager, Assistant managers, Roadway Programs Coordinator, Equipment Manager and Foreman.

Process paperwork for employee’s safety glasses.

Takes notes for Safety Committee and sends out minutes monthly.

Types memos, data entry, filing and other general clerical duties.

Back up to Clerk Typist 3.

Performs other related duties as required.

SAFETY:

SUCCESSION PLANNING:
Employees:
Take an active role in succession planning by completing a Career Development Plan in collaboration with the supervisor. In conjunction with the supervisor, participate in knowledge management/transfer by identifying key aspects of the job and sharing explicit and tacit program/technical knowledge with other employees.

Department Green Plan Policy:
Commit to following the Department’s Green Plan Policy (Pub 712) and the associated principles. Failure to comply with the Department’s Green Plan Policy shall be documented in the employee’s performance review.

Fair Labor Standards Act:
Understand your responsibilities as a supervisor under the FLSA to ensure that employees are paid appropriately for hours they work or are allowed to work – i.e. all time spent furthering the business of the Department. Ensure that your employees are performing work only within their regularly-assigned shift hours, unless overtime has been directed and approved in advance of completed work. There should be no confusion as to when work has officially started or ended. Ensure that all hours employees work are fully accounted for on payroll sheets.

Types and distributes a variety of correspondence based on the type of document and work unit process the assignment is for.

Inputs information into appropriate departmental systems such as but not limited to SAP, ESS, and Micro Soft Office
